We are seeking a highly organized and tech-savvy Online Clinic Manager to support the Clinic Owner in managing the day-to-day operations of an online psychotherapy practice. This role is ideal for someone with excellent communication skills, experience in hiring and managing staff, and a passion for leveraging technology to enhance clinic efficiency. The Online Clinic Manager will work closely with the owner to handle administrative tasks, staff management, and client relations. Flexible hours are available to accommodate a balanced work-life schedule.

Key Responsibilities:
- Administrative Support:
- Organize virtual meetings, track clinic performance metrics, and ensure smooth operation of all administrative processes.
- Oversee digital tools used for telehealth services, client management, and secure communication.
- Ensure compliance with mental health regulations, privacy standards, and confidentiality requirements (e.g., HIPAA).
- Staff Management & Hiring:
- Manage the hiring process, including recruiting, interviewing, and onboarding new therapists, students and administrative staff.
- Oversee staff scheduling, manage time-off requests, and ensure adequate coverage for client appointments.
- Conduct regular performance evaluations and provide ongoing training and support for therapists and administrative team members.
- Foster a positive and collaborative remote working environment, encouraging team cohesion and productivity.
- Technology & Systems Management:
- Manage telehealth platforms, client communication tools, and online booking systems.
- Troubleshoot technical issues related to virtual therapy sessions and ensure smooth operations across digital platforms.
- Stay updated on the latest digital health tools and systems to continually improve the client experience.
- Marketing & Growth:
- Support the Clinic Owner with digital marketing initiatives, including managing social media accounts, email campaigns, and online outreach.
- Develop strategies to grow the clinic’s client base, including community outreach and building strong online relationships.
Qualifications:
- Bachelor’s degree/certification in Human Resources, Healthcare Administration or a related field (preferred).
- Proven experience in managing or coordinating operations within an online or remote setting (experience in mental health/psychotherapy preferred).
- Strong communication and interpersonal skills with the ability to manage remote teams and interact with clients professionally.
- Tech-savvy with experience using telehealth platforms, EHR systems, and clinic management software.
- Ability to multitask and manage time effectively in a flexible, remote environment.
- Experience with recruitment and staff management in a virtual or hybrid setting.
- Understanding of online marketing tools (e.g., social media, email campaigns) is a plus.
- Familiarity with HIPAA regulations and the handling of confidential information.
