Essential Nature of the Work: The Confidential Executive Assistant provides comprehensive administration and coordinated support to the in-house legal team and out-of-scope leadership, including the President, Vice President, Treasurer, Directors, Employment Relations Manager, and Strategic Communications Manager. This role requires exceptional discretion, organizational skills, and the ability to manage sensitive information in a fast-paced environment.
Typical Duties: Providing confidential administrative assistance to the President, Vice President, and Treasurer, including but not limited to calendar management, travel arrangements, and meeting coordination. Assisting in-house legal counsel with scheduling, document preparation, filing, calendar and email management, and projects as assigned. Confidentially assisting the Employment Relations Manager with documentation in relation to all things HR/LR. Assisting in the maintenance of confidential records as well as organizational policies, in addition to performing other confidential process-driven work. Performing other administrative duties as assigned, including but not limited to assisting at conferences, conventions and summits; prepare agendas and minutes; coordinate inter-departmental and external communications; manage incoming correspondence and prioritize tasks; other administrative projects that fall outside the scope of duties of the in-scope Administrative Assistant.
Qualifications and Experience: Post secondary office administration certification with specialized legal focus. A minimum of three years’ experience working in executive or legal administrative support, or equivalent legal experience. Proficiency in Microsoft Office Suite and document management systems
