Why this role is important?
This is a 15 month contract role reporting to the Senior Manager - Pharmacy Transition & Products, the New Home Start Specialist will co-lead and manage new business implementation/onboarding activities of new clients and offboarding activities of existing clients with pharmacy services provided by MediSystem . This role will also establish onboarding and offboarding process and procedures for new and existing clients. Work with all levels of the Medi Organization, SDM Senior Retail Housing as well as external clients, subordinate staff and vendors. This role is also responsible for providing subject matter expertise on pharmacy and clinical related inquiries and work closely with eHealth, FST, Operations pharmacy, clinical consultant and quality improvement nurse teams ensuring governance and standardization processes.
Lead implementation, onboarding activities for new homes starts and offboarding activities of existing homes to MediSystem Pharmacy on a national level, while continuously improving, maintaining and executing standard operating procedures for new home starts and offboarding through partnering with other internal cross-functional teams.
Lead and participate in meetings with clients and visit Long Term Care and Retirement homes to conduct initial meetings and site visit for the purpose of implementation.
Manage end-to-end implementation pharmacy services on-time and within the scope
Manage all teams day-to-day project initiatives
Operationalize all aspects of partner programs, acting as the link between all internal cross-functional teams
Lead all implementation activities by maintaining and executing standard operating procedures through partnering with other internal cross-functional teams
Provide Subject Matter Expertise on all onboarding and offboarding services, collaborate with internal teams to ensure programs are delivered with operational excellence and program value is optimized
Work closely with Sales & Marketing Team, Medi Operations sites, SDM Senior Retail Housing team, IT, eHealth, Asset Management , Vendor Partnerships and PMO to ensure the smooth on-boarding of new clients.
Be the key point of contact for onboarding/offboarding issue resolution with internal teams across the organization
Focus on continuous improvements and best practices to drive operational excellence, and deliver related recommendations
Ensure the pharmacy equipment (medication carts, digital appliance, digital pens, fax machines, etc.) is ordered as per the contract for a new Home start
Ensure all the pharmacy equipment (medication carts, digital appliance, digital pens, fax machines, etc.) is retrieved from a Home during the end of the contract when required
Ownership and maintenance of New Home Start documents, artifacts and templates.
Promote utilization of SharePoint as a single source of access point for organizational teams to extract information, tools and templates required for onboarding and offboarding activities
Contributing to continuous service improvement practices, creating and maintaining value for internal and external clients through better design, introduction and operation of services, linking improvement efforts and outcomes with strategy, design, transition and operation of services.
Remotely Manage deliverables, installations, trainings and resources required for new home starts with local MediSystem OPS sites and Shoppers Drug Mart stores servicing Long Term Care and Retirement homes
Ensure initial meeting are scheduled with all stakeholders (Ops Managers/SDM Associates/clients/Director Customer Technology/Project Lead)
Prepare initial meeting documents and site assessment information forms for Ops. Manager, SDM Associates and FST
Schedule FST’s to conduct site assessment.
Confirm training schedule with clients.
Confirm Trainer with Ops. Manager and SDM Associates
Schedule Pre Go, Go Live and Post Go Live conference calls between clients, and Ops Managers/Ops Leads
- Provide and share new home start documents from initial meeting to appropriate personnel.-
- Initiate, coordinate and follow up on equipment order with asset management team.
- Schedule FST and BFG techs for site visit for the purpose of installation and configuration of digital system and fax machine .Ensure Assets are tagged
Email communication to all MediSystem departments regarding new home start status
Maintain supplies and inventory levels required for new home start-ups - advise OPS sites.
Facilitate calls/WebEx with internal and external stakeholders.
Coordinate with Operations to ensure that the following items are completed:
> Provide information to Operations on provisions contractually promised to new homes.
> Ensure the initial run cycle of medications for new home start-ups are delivered.
> Ensure Stericycle account has been created for the client and initial inventory delivered
>Ensure reports are delivered for Pharmacists involved in Consultant work for new home start-ups.
Facilitate weekly touchpoint calls with local MediSystem and SDM Ops sites to discuss new home starts transition status and offboarding schedules
Setting up new homes in Kroll pharmacy software and Medisystem specific platforms
Conduct pharmacy training sessions for new homes as required
Train local Medi OPS sites and SDM store Associates Pharmacy in-service training, and backup as required
Support Medi OPS and SDM sites with remote/in person travelling to LTCs, RHs and group homes to facilitate pharmacy transition initiatives
Educate/Train Facility staff or train the trainer on pharmacy services and digital platform of MediSystem Pharmacy and the standard nursing practices pertaining to the medication delivery and administration through in-service sessions
Standby resource for; Ops manager – initial meeting, FST – site assessment and equipment installation, CP/QIN/SDM Associate – training
Work closely with Asset Management to evaluate CAPEX and OPEX needs for new home start equipment
Evaluate agreed client contract terms/provision items
Develop bulk order of pharmacy equipment estimates
Provide subject matter expertise on purchase of medication carts, fax machines etc.
Resource out special request item with Asset Management or Manager Vendor Relations when needed
Evaluate local site assessments and initiate asset management and purchasing activities requesting approvals prior to requesting purchase orders for equipment requirements
Technical expertise for client IT configurations and customization
Check on installation and configuration of appliance and fax machine completed by FST
Collaborate with Medi IT with regards to configuration of portals for each client Home.
Provide technical expertise to independent clients with non IT support
Consult and explain the MediSystem's digital system platform to the client and client IT
Share takeaways from the conference calls, follow up and communicate to stakeholders – Clients, Ops Managers and SDM Associates
Consult with Client IT departments for requirements and education

What You’ll Need
RPH License – nice to have
Previous experience working in a Retail or LTC Pharmacy
Experience with Kroll required
Excellent verbal and written communication skills
Strong quality orientation, attention to detail, and the ability to learn and adhere to compliance/audit requirements
Proficient in data entry, and the use of Windows-based programs
High ethical standards
Commitment to providing exceptional customer service
Extremely high degree of patient confidentiality and adherence to enterprise policy and legal requirements
