Dr. Wrinkle Away is a growing medical aesthetics and wellness clinic seeking a highly organized, customer-focused professional to join our team. We are looking for someone who is interested in becoming a long-term member of our clinic family and growing with our business.
The ideal candidate has strong customer service and office management experience, excels at creating exceptional patient experiences, and is comfortable managing both front desk operations and administrative responsibilities. Experience with social media management and content creation is highly desirable.
Position Overview
This role serves as the primary point of contact for patients while also supporting the day-to-day operations of the clinic. The successful candidate will help ensure the clinic runs efficiently, patients receive exceptional service, and practitioners remain well-supported.
While the majority of the role is in-clinic, social media responsibilities may be completed remotely during designated hours.
Responsibilities
Patient Care & Reception
- Welcome patients and create a warm, professional, and welcoming experience.
- Answer incoming phone calls, emails, text messages, and social media inquiries.
- Schedule, confirm, and coordinate appointments.
- Manage patient records and maintain confidentiality.
- Process payments, financing applications, and billing inquiries.
- Follow up with consultations, treatment plans, and patient questions.
- Assist in promoting clinic services, treatments, and skincare products.
Office Management
- Coordinate schedules between multiple practitioners and treatment rooms.
- Manage clinic inventory and reorder supplies as needed.
- Review monthly clinic expenses, invoices, and recurring payments.
- Maintain clinic organization and operational efficiency.
- Assist with implementing office systems and improving workflows.
- Liaise with vendors and service providers when required.
- Support clinic growth initiatives and special projects.
Social Media & Marketing
- Create and schedule content for Instagram, Facebook, and TikTok.
- Capture and organize photos and videos for marketing purposes.
- Design graphics and promotional materials using Canva.
- Monitor social media engagement and respond to messages.
- Stay current with social media trends and contribute creative marketing ideas.
- Assist with promotions, events, and patient education campaigns.
Qualifications
- Previous experience in customer service management, office management, medical reception, or a similar leadership role.
- Strong organizational and multitasking abilities.
- Exceptional communication and interpersonal skills.
- Experience with scheduling, billing, and administrative systems.
- Experience managing social media accounts for a business.
- Proficiency with Canva and social media platforms.
- Ability to work independently and take initiative.
- Experience in medical aesthetics, healthcare, beauty, or wellness industries is considered an asset.
- Knowledge of EMR software is an asset.
