Job Overview:
Essex Lease Financial Corporation is looking for a professional and organized Front Desk Coordinator to join our Calgary office in an on-site, in-person capacity.
This entry-level role is ideal for someone with prior corporate office reception experience who enjoys working in a fast-paced environment and takes pride in creating a welcoming and well-organized workplace. As the first point of contact for clients, visitors, and incoming communications, this position plays an important role in maintaining a positive and professional office experience.
This role provides an excellent opportunity to build foundational experience within a professional financial services environment while developing broader administrative and operational skills.
Key Responsibilities
- Greet clients, visitors, and vendors in a professional and welcoming manner
- Answer, screen, and direct incoming calls via the corporate phone system
- Take and distribute messages appropriately
- Coordinate and manage meeting room bookings and schedules
- Maintain a professional reception and common area environment
- Process, collect, and distribute incoming mail and couriers
- Prepare file packages, labeling, and office filing maintenance
- Maintain office, kitchen, and coffee supply inventory and ensure daily replenishment
- Order office supplies, letterhead, and business cards
- Coordinate office maintenance and vendor services
- Assist with correspondence preparation for various departments
- Book travel, meetings, and lunches
- Assist with insurance renewals for booked transactions
- Support data entry and maintenance within Aspire portfolio management software
- Ensure sufficient balances in provincial registry accounts and postage meters
- Assist with bank deposits and basic cash management tasks
- Process returned payments and service charges within Aspire
- Assist with corporate searches, personal property searches, registrations, and credit bureau searches
The Successful Candidate Will
- Possess strong verbal and written communication skills
- Be highly organized with strong attention to detail
- Demonstrate professionalism in a client-facing environment
- Be able to prioritize tasks and manage multiple interruptions throughout the day
- Maintain confidentiality and exercise sound judgment when handling sensitive information
- Take initiative while supporting a collaborative team environment
- Be reliable, approachable, and comfortable working in a busy office setting
Required and Preferred Qualifications
- Previous experience working in a corporate office reception or front desk role is required
- Experience managing incoming calls and greeting in-person visitors
- Proficiency with computers in a professional office environment
- Working knowledge of Microsoft Office Suite (Outlook, Word, Excel)
- Comfortable learning and navigating internal software systems
- Experience within financial services or professional services environments is an advantage
- Exposure to corporate searches, registry processes, or similar administrative would be an asset
- Post-secondary education in Business Administration or a related field is considered an asset but not required
