Desired Knowledge, Skills, and Abilities:
- High school diploma required
- Completion of a Medical Office Assistant course required
- 3+ years of Medical Office Assistant experience required
- Proficiency in basic computer skills and data entry.
- Familiarity with Electronic Medical Record (EMR) system (MedAccess Preferred)

Key Position, Duties, and Responsibilities:
- Act as primary contact for the designated Clinic site
- Supervise, guide, and mentor MOA and LPN staff
- Coordinate patient care and flow throughout the clinic, including the waiting room, exam room, and procedures.
- Demonstrate courtesy, politeness, and helpfulness to the public and patients at all times
- Explain clinic policies to patients when required in a polite manner
- Schedule appointments for patients according to doctor preferences
- Make appointment reminder calls as directed
- Reschedule patient appointments as necessary
- Greet patients in person and over the phone, directing them to the appropriate location or service
- Update electronic medical records (EMRs) by recording patient allergies and demographics (Personal Health Number, address, phone number) at the time of each visit
- Escort patients from the waiting room to exam rooms, ensuring patient and electronic chart readiness for the physician
- Measure vital signs (e.g., blood pressure, heart rate, oxygen saturation, height, weight, waist circumference) for each patient and record in the electronic medical record
- Share information gathered from patients with appropriate team members to enhance comprehensive patient care
- Assist in booking specialist, diagnostic, and surgical procedures as needed
- Collect fees according to protocol (e.g., no-show appointments, uninsured services)
- Complete third-party requests
- Return phone calls to patients and convey advice and instructions from the physician
- Prepare examination rooms, set up and maintain (restock) medical supplies and equipment in all examination and procedure rooms in the absence of the LPN
- Maintain an accurate inventory list and order materials as needed
- Scan, download, and link patient labs and documents into the Electronic Medical Record
- Administer requests for patient information (e.g., transfer patient files to/from other clinics, printing files) in accordance with protocols while ensuring confidentiality
- Adhere to clinic guidelines and contribute to the development of new ones
- Assist with training new staff as requested
- Maintain the cleanliness and organization of the reception desk and waiting area
- Participate in staff development programs and promote team cohesiveness
