The Sunnybrook Division of Urology Partnership is an academic Urology division providing sub-specialty and general urology care for patients across Ontario.
Join the Sunnybrook Division of Urology Partnership as a Full-Time Medical Secretary for a duration of one year, with the possibility of extension. This position offers an opportunity to provide administrative support to a single urologist within our academic Urology division.
Responsibilities:
- Schedule and manage outpatient clinics using physician Outlook, scheduling software, and patient registration systems.
- Coordinate outpatient appointments and diagnostics.
- Manage the scheduling and coordination of outpatient procedures.
- Maintain physician's schedules for clinics, procedures, and academic duties.
- Prepare patient charts and ensure accurate filing.
- Communicate appointment details and instructions to patients via telephone, email, and mail.
- Answer incoming calls and direct patients to the appropriate individuals.
- Fax documents to physicians' offices and organize incoming faxes.
- Schedule and coordinate follow-up appointments and diagnostics.
- Collaborate with other administrative staff as needed.
- Take minutes if required.
- Update physician CVs.
- Perform other assigned duties as needed.
Qualifications/Skills:
- Post-secondary degree or diploma in Office Administration or recognized equivalent, or a combination of education and experience.
- Advanced working knowledge of Microsoft Outlook, Access, Word, Excel, and PowerPoint.
- Minimum of 5 years' experience in a medical administrative assistant role, preferably in an academic or community hospital setting.
- Ability to take initiative and act independently, while also accepting direction.
- Excellent written and oral communication skills and a good team player.
- Strong time management skills and attention to detail.
- Ability to prioritize tasks based on urgency.
- Capacity to work independently and manage multiple demands, including time-sensitive requests.
- Good interpersonal skills and ability to work well with diverse individuals
- Tact and discretion in handling sensitive and confidential issues.
- Willingness to take on new responsibilities.
- Satisfactory attendance record.
- Ability to maintain strict confidentiality.
- Knowledge of medical terminology.
