Senior Project Coordinator – Restoration Construction
We are seeking an experienced Senior Project Coordinator to oversee the financial, administrative, scheduling, and reporting functions of restoration construction projects from mobilization through closeout. This role connects project managers, field teams, accounting, health and safety, subcontractors, clients, and insurance representatives to keep projects safe, documented, on schedule, and profitable.
Key Responsibilities:
- Maintain job-costing records and reconcile labour, material, equipment, subcontractor, invoice, and purchase-order costs.
- Prepare cost-to-complete, variance, work-in-progress, billing, and project profitability reports.
- Track budgets, change orders, supplements, scope changes, receivables, and payables.
- Administer SiteMax or a comparable platform, ensuring daily reports, photos, progress records, and audit documentation are complete.
- Create and maintain project schedules, milestone plans, critical paths, and two- to three-week look-ahead schedules.
- Identify budget issues, delays, documentation gaps, and project risks, recommending corrective action.
- Coordinate subcontractor activities and material deliveries to reduce scheduling conflicts and downtime.
- Maintain site-specific health and safety records, job-site safety boards, certifications, inspections, and corrective-action logs.
- Prepare and revise Xactimate estimates, scopes, take-offs, supplements, and claim documentation.
- Communicate with adjusters, third-party administrators, insurers, clients, and internal project teams regarding scope, pricing, and progress.
- Improve and standardize project workflows, reporting tools, templates, dashboards, and system integrations.
- Develop procedures and train employees on new tools and processes.
Qualifications:
- Proven project coordination experience in restoration or construction.
- Strong knowledge of job costing, budget controls, scheduling, billing, and project documentation.
- Experience with Xactimate and SiteMax or similar estimating and site-management software.
- Proficiency with scheduling and accounting platforms such as Microsoft Project, Smartsheet, Sage, QuickBooks, Jonas, or comparable systems.
- Familiarity with insurance restoration claims, supplements, and adjuster communications.
- Working knowledge of construction health and safety requirements.
- Strong analytical, organizational, communication, and problem-solving skills.
- Ability to manage multiple active projects, priorities, and stakeholders with a high degree of accuracy.
Reporting Relationships:
Reports to the Division Director or Corporate Officer and works closely with project management, field operations, accounting and finance, health and safety, subcontractors, clients, and insurance representatives.
Pay: $70,000.00-$75,000.00 per year
