Job Overview
We are seeking a dedicated and experienced Fractional Manager to oversee the management and operations of our fractional ownership properties at Northstar Mountain Village. The ideal candidate will have a strong background in property management, excellent interpersonal skills, and bookkeeping abilities. They will also be able to demonstrate the ability to oversee daily operations, communicate between hospitality and strata, and ensure owner satisfaction. This role requires a hands-on approach and a commitment to maintaining high standards of service and safety.
Responsibilities
- Fractional Manager – Onsite/Offsite Duties
1. Generally carry out overall supervision, procurement, and management of the interior of the Strata Lots.
a. Replace furniture, fixtures and equipment (FF&E) within the Strata Lot after obtaining required permissions from owners, 3 of 4 owners to approve any FF&E expenditure (over $100).
b. Manage programmed upgrades to the Strata Lots inventories.
i. E.G., hot tub installations, HVAC
2. Supply runs
a. Annual Clean supplies
b. Small or large capital replacement items; (although many things are now ordered online and delivered to the post office or on-site)
c. Post Office pickups – keys can be shared with NSH Assistant Manager
3. Annual inventory review for Accountant (usually a day in July)
4. If available, meet potential buyers or current Owners for discussions, (although this is mostly done via phone or email.)
5. Facilitate contract discussions
6. Contract Maintenance services and advise the Owners Corporation on the proper maintenance and repair of the Strata Lots.
a. Contract services as required by the Owners Corporation (e.g., crane for hot tubs; HVAC and fireplaces, appliance repairs)
b. Co-ordinate repair of any damage done by owners, beyond normal wear and tear and invoice accordingly. Done in coordination with HouseKeeping/Assistant Manager
3. Liaise with Professional services for new Owner property transactions and banking administration
4. Maintain the FF&E Reserve spreadsheet, indicating each Strata Lots funds.
5. Advise Owners Corporation on appropriate amounts of insurance and FF&E amounts.
6. Prepare an annual budget to be agreed at the Owners Corporation AGM.
7. Maintain the Year to Date (YTD) spreadsheet of budget expenditures.
8. Maintain the YTD Replacement Supplies and Capital Replacement spreadsheets.
9. Maintain the Corporate Reserve fund spreadsheet.
10. Maintain the Inventory spreadsheet.
11. Attend board of directors’ meetings in Calgary.
12. Liaise between ownership and board members.
13. Prepare agenda for all meetings.
14. Attend and facilitate (Zoom) remote meetings, writing and posting minutes
15. Attend the AGM of the Owners Corporation.
16. Prepare documents for the AGM and disperse to all owners/shareholders.
17. Update the owner’s portion of the Northstar website.
BOOKKEEPING
1. Keep accurate accounting books on SAGE accounting software
2. Carry out bank reconciliations to RBC and Credit Union accounts.
3. Advise Owners Corporation on investment, GIC holdings
4. Invoice and collect Owners Corporation fees from the fractional owners.
5. Maintain an Accounts Receivable list, some owners may be under “loss of use” restrictions.
6. Pay invoices of the Owners Corporation.
7. Prepare the monthly financials of the Owners Corporation to the board members by the 20th of the month, following month end.
8. Prepare year end documents for providing to the Owners Corporation accountants.
This role is 30 hours per week. There will potentially be an opportunity to work from once you are comfortable in your position. Benefits will be offered after 3 months.
