About the Role
We are seeking an experienced and highly organized Administrative Assistant to join our team. This is an in-person position supporting daily office operations, project administration, and client communications. The successful candidate will play a key role in ensuring the efficient functioning of the office while providing administrative support for projects involving developers, property owners, and contractors.
This position requires a professional individual with strong communication skills, attention to detail, and the ability to manage multiple priorities in a fast-paced environment.
Key Responsibilities
- Manage front desk responsibilities, including greeting visitors, clients, and contractors in a professional manner
- Answer, screen, and direct incoming telephone calls and emails
- Provide excellent customer service by responding to inquiries promptly and professionally
- Perform general administrative and office support duties
- Maintain appointment schedules, calendars, and coordinate meetings for staff and clients
- Handle data entry, filing, document management, and record retention to ensure accuracy and organization
- Coordinate and maintain warranty-related documentation, records, and follow-up activities
- Assist with project administration, document tracking, and coordination with developers, contractors, consultants, and clients
- Support management with various administrative tasks, reports, and special projects
- Coordinate meetings, appointments, and calendars
- Ensure day-to-day office operations run smoothly by managing clerical and administrative duties efficiently
Qualifications
- Minimum 5 years of administrative assistant, office administration, or office management experience
- Excellent English communication skills—both verbal and written—along with a friendly demeanor
- Excellent organizational skills with attention to detail in data entry and proofreading
- Proficient in Microsoft Office Suite (Word, Excel, Outlook)
- Ability to prioritize tasks and work independently
Assets
- Experience working in the construction, building maintenance, property management, consulting, or development industries
- Familiarity working with developers, contractors, and building professionals
- Experience with document management and project administration

Pay: $48,000.00-$55,000.00 per year
