Overview
We are seeking a professional and organized Administrative Assistant/Receptionist to join our team. This role is vital in ensuring smooth office operations, providing exceptional customer service, and supporting administrative functions. The ideal candidate will possess strong clerical skills, proficiency in office software, and excellent communication abilities. Experience in medical or dental offices is a plus, but not required. This position offers an engaging work environment where attention to detail and organizational skills are highly valued.
Duties
- Greet visitors and manage front desk responsibilities with professionalism and courtesy
- Answer multi-line phone systems, screen calls, and direct inquiries appropriately
- Perform data entry tasks accurately using Microsoft Office, Google Workspace, and QuickBooks
- Maintain organized filing systems both electronically and physically
- Schedule appointments, confirm bookings, and reschedule as needed
- Provide customer support through email correspondence and in-person interactions
- Assist with bookkeeping tasks including invoicing and record keeping
- Proofread documents for accuracy and clarity before distribution
- Support office management with administrative tasks such as photocopying, faxing, and mailing
- Ensure the reception area remains tidy and welcoming at all times
Qualifications
- Proven clerical or administrative experience, preferably in a medical or dental office setting
- Proficiency with Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace applications
- Experience with QuickBooks or similar bookkeeping software is desirable
- Strong computer skills including data entry, file management, and document proofreading
- Excellent organizational skills with the ability to multitask efficiently in a fast-paced environment
- Exceptional phone etiquette and customer service skills for front desk interactions
- Ability to handle multi-line phone systems confidently and professionally
- Attention to detail with strong typing speed for efficient data entry
- Prior experience in medical or dental office environments is a plus but not mandatory
- High school diploma or equivalent required; additional administrative training is advantageous
Pay: $22.00-$25.00 per hour
