Who we are:
Guided Wealth Management is an established Oakville wealth management firm focused on helping clients protect their financial well-being and make sound financial decisions for themselves and their families.
We're a small team where relationships, attention to detail and exceptional client service matter.
We're looking for a Registered Representative (RR) who specializes in administration and client service. You would become a trusted point of contact for our clients while taking real ownership of the servicing and administration that keeps an advisory practice running well.
Who will thrive here:
· You're confident with people. You're not afraid to pick up the phone, ask questions or deal with an unfamiliar situation.
· You genuinely care about clients. You don't just process requests - you make sure people are taken care of.
· You're warm and social. Clients find you approachable, professional and easy to talk to.
· You're detail oriented. You check your work and keep good records.
· You take initiative. In a small firm, you can't wait to be told what to do next. You notice what needs attention and move it forward.
· You want a role you can make your own. You don’t need to become an advisor to succeed here. If you love client service and relationship building, this can be a long-term career.?
What you will own:
Exceptional Client Service - Become someone our clients know and trust. Respond to calls and emails, book and confirm reviews, follow up on outstanding information, assist with routine account needs and proactively stay in touch. Success means clients feel genuinely cared for without needing their advisor involved in every interaction.
Client Administration & Follow-Through - Keep paperwork, client records and outstanding tasks accurate and moving. You'll maintain Microsoft Dynamics, document client interactions, process account paperwork, support new-account openings, update client information, manage required documentation and make sure commitments don't fall through the cracks.
Meeting & Review Readiness - Make sure advisors walk into client meetings prepared. You'll coordinate reviews and KYC updates, review outstanding actions, prepare account statements and meeting materials, anticipate required paperwork and make sure post-meeting actions get completed.
RR-Level Client Support - Handle client and trade-related activities permitted within your RR registration, including soliciting trades where appropriate. Partner with the advisor when investment advice or decision-making is required.
Advisor Capacity - Ultimately, your job is to give the advisors time back. Routine servicing and administration shouldn't continually route back to them. You take ownership, know what needs to happen next and get it finished.
Experience and Qualifications:
We are looking for someone who:
· Holds the qualifications and registration necessary to operate as an RR for the activities expected in this position
· Has experience in a financial advisory firm, investment environment, bank or similar financial-services setting
· Understands investment account administration and client paperwork
· Is comfortable working within compliance-driven processes
· Is highly organized and able to manage multiple client needs at once
· Communicates clearly and professionally
· Is comfortable with CRM and financial-services technology; Microsoft Dynamics experience is an asset
