Position Summary:
Under the direction of the Administration Services Manager is responsible to provide courteous and efficient telephone, reception, and clerical support to, and on behalf of, the facility. Assist in the preparation and maintenance of payroll transactions and Bookkeeping.
Key Accountabilities:
- Updates daily & submits weekly the MOHLTC Censes Report.
- Participates on the Continuous Quality Improvement (CQI) All Stars Team activities.
- Ensures courteous and efficient answering of telephones, receives telephone inquiries and verbal messages, and delivers same in an appropriate time-frame.
- Greets and responds to families, visitors, sales people, suppliers, etc. coming into the facility.
- Ensures prompt delivery of incoming mail/faxes to appropriate staff/residents, and mailing/faxing of all outgoing correspondence for the facility and residents. e.g. Statements.
- Maintains necessary office supplies, inventory, and orders as required.
- Provides typing and clerical support under the direction of the Office Manager and/or Administrator.
- Creates newly admitted residents files, maintains and updates resident information and preparing miscellaneous billings & adjustments. Maintains resident information.
- Monthly generates Long Distance calls billing report.
- Maintains parking pass enrollments, changes and cancellations. Monthly, submits new enrolments, changes and cancellations to Parking Company.
- As required assists with the maintenance of Employee files.
- As required assists with the maintenance of Policies & Procedures.
- As required assists with the completion of payroll
- Complies with Occupational health and Safety Insurance Act and WHMIS information system. This includes recognizing health and safety hazards, reporting incidents, fulfilling responsibilities under the applicable legislation, as well as participating in in-services and fire drills.
- As required assists in completion of Rate Reduction and EC Applications.
- E-mails and codes Accounts Payable invoices.
- Tracks sales of meal tickets, event tickets, and coffee machine lost funds disbursement.
- Performs other duties as assigned.
Required Qualifications:
- Must have excellent communication, interpersonal and organization skills.
- Must possess proven typing and general office skills, as well as some accounting and payroll experience with a computerized system.
