Your role:
As administrative assistant, you will support the Executive Director, Talent Management helping her deliver on strategic talent management priorities and keeping her and her team and herself organized for success.

Key functions include:
Coordination on all fronts to keep things running smoothly – including but not limited to: manage my calendar, coordinate travel as required (including meetings, accommodation, functions and transport), prepare files for meetings, coordinate workshops (incl. manage agendas, logistics and meeting outputs), manage conflicting priorities etc.
Help keep my team happy and engaged by prioritizing my time with them and ensuring our operating model supports the work we need to do.
Assist with the development, drafting and preparation of papers for HR meetings and conferences.
Help our team manage key files and processes (Engagement, Leadership, Learning, Performance Dialogue, Succession Planning, Talent Acquisition, etc.).
Other projects and tasks as assigned.

We are looking for a candidate with the following:
You have a college diploma or equivalent.

You have four (4) or more years of wide-ranging experience in an administrative support role.

You are optimistic and strive to make things better.

You are autonomous, independent and can make decisions when required.

You are able to deal professionally and tactfully with incoming queries and requests from internal and external parties.

You are organized, have a high level of accuracy, and have great attention to detail.

You are a collaborator and relationship builder.

You are flexible, able to prioritize workload and respond to conflicting priorities which may arise.

You are bilingual with excellent French capabilities both oral and written.

You are proficient with MS Word, Excel and PowerPoint and the equivalent in the Google Suite.

You are comfortable with technology and learn new systems and tools quickly.

You are able to show discretion in performing assigned duties, ensuring confidentiality.
