We are looking for a highly organized, people-focused Operations Coordinator & Client Services professional to support the daily operations of our company. This role is ideal for someone who enjoys solving problems, coordinating moving pieces, supporting team members, and creating outstanding experiences for both clients and employees.
What You'll Do:
- Coordinate and confirm client appointments, schedules, and service requests
- Manage client communication through phone, email, and text messaging
- Maintain CRM systems, client records, reports, and operational documentation
- Prepare invoices, process payments, and support administrative operations
- Serve as the first point of contact for client concerns and service adjustments
- Support recruitment, onboarding, training coordination, and employee documentation
- Track employee availability, time-off requests, and staffing coverage
- Coordinate performance reviews and employee check-ins
- Assist with claims administration and follow-up
- Develop, maintain, and improve internal procedures, policies, and SOPs
- Support leadership with special projects, process improvements, and company growth initiatives

Qualifications:
- 2+ years of experience in administration, operations, office coordination, customer service, human resources, or a related field
- Experience managing schedules, client communications, and administrative processes
- Strong written and verbal communication skills
- Experience with CRM systems, Google Workspace, spreadsheets, Slack, or similar workplace communication platforms
- Human resources, recruiting and payroll experience is considered an asset
- Experience in hospitality, service-based businesses, trades, or small business environments is an asset
- Valid Class 5 driver's license and reliable vehicle required
Compensation & Schedule:
- $45,000-$55,000/year based on experience
- Monday to Friday | 7:30 AM - 4:00 PM
- In-person role | 4030 8 St SE, Calgary
- Hybrid flexibility may be discussed after probation
- Benefits available following probation
