Are you highly organized, detail-oriented, and passionate about delivering exceptional customer service? We are looking for a professional and dependable Evening Service Administrator to support our busy service department during evening hours Monday to Friday 5pm to 10pm
This role combines administrative responsibilities with front-line customer service, making it ideal for someone who enjoys a fast-paced environment and takes pride in keeping operations running smoothly. As a key member of the service team, you will assist customers, support service advisors and technicians, process documentation and payments, and help ensure an outstanding customer experience from arrival to departure.
Key Responsibilities

Greet customers in a friendly, professional, and welcoming manner.

Answer and direct incoming phone calls promptly and courteously.

Schedule appointments and assist with customer inquiries when required.

Listen to customer concerns and accurately document vehicle service needs.

Explain recommended maintenance and repair services in a clear, customer-friendly manner.

Review completed repairs with customers and explain services performed.

Ensure repair orders are completed accurately and closed in a timely manner.

Process customer payments accurately and efficiently.

Support service advisors with administrative and clerical tasks.

Maintain regular communication with customers regarding vehicle status, timelines, and additional repair recommendations.

Review and organize service documentation for accuracy and completeness.

Maintain customer records and update information within dealership systems.

Coordinate communication between customers and service department staff.

Assist customers, technicians, and service advisors in identifying and sourcing the correct parts.

Process parts requests efficiently and accurately.

Assist with daily reports, filing, and other administrative duties as assigned.
