Our client is a well-established, mid-sized full-service law firm in Toronto seeking a Family Law Legal Assistant to provide comprehensive administrative and legal support to two Partners, with the potential to support an additional Associate as the team grows.
About the Role
The successful candidate will be responsible for providing high-level legal and administrative support, including preparing, coordinating, revising, transcribing, and organizing legal documentation and correspondence. The role will also involve general practice management and office administration as required.
Key responsibilities include:
- Prepare and format legal documents and correspondence through transcription, copy-typing, editing, and revisions.
- Provide administrative support, including expense reports, courier forms, file-opening documentation, photocopying, scanning, filing, and file organization.
- Maintain professional and effective communication with lawyers, firm members, clients, and external contacts.
- Organize documents for distribution, mailing, photocopying, and binding.
- Schedule and coordinate appointments, meetings, conferences, and other commitments.
- Prepare and generate monthly pre-bills and assist with billing administration as required.
- Coordinate travel arrangements and reservations when needed.
- Maintain accurate paper and electronic filing systems for correspondence, invoices, receipts, and other documentation.
- Review and organize files in accordance with firm procedures, including transferring inactive files to storage and removing outdated materials.
- Provide general administrative and practice management support as required.
What You Bring
- Legal Assistant, Law Clerk, or Paralegal Certificate/Diploma from an accredited institution.
- 5+ years of experience supporting a Family Law practice within a law firm environment.
- Strong understanding of the Family Law Rules and Ontario court filing procedures.
- Experience preparing and managing complex legal and transactional documents.
- Advanced technical proficiency with Microsoft Office, including Word, Excel, and PowerPoint.
- Hands-on experience with DivorceMate and ACL.
- Strong transcription, proofreading, formatting, and document production skills.
- Ability to create and work with basic Excel and PowerPoint charts.
- Exceptional attention to detail and accuracy.
- Professional communication skills with a strong client-service mindset.
- Excellent organizational and time-management skills, with the ability to manage competing priorities effectively.
- Experience with pre-bill administration; knowledge of 3E is preferred.
- Familiarity with document management systems (DMS) is an asset.
- Ability to work independently while providing proactive and reliable support to multiple lawyers.

Pay: $60,000.00-$72,000.00 per year
