Electrical Project Coordinator
Position Summary
The Electrical Project Coordinator is responsible for supporting the successful planning, coordination, and execution of electrical projects from award through completion.
This position works closely with the Electrical Department Manager/Project Manager, estimators, foremen, electricians, suppliers, general contractors, and customers to ensure projects are properly organized, documented, scheduled, supplied, and financially tracked.
As part of a growing electrical department, this is a hands-on role with significant opportunity for increased responsibility as the department expands. The successful candidate will be highly organized, proactive, comfortable working in a fast-paced construction environment, and able to manage multiple projects and priorities simultaneously.
Key ResponsibilitiesProject Setup & Administration
- Set up new projects following contract award, including project folders, budgets, schedules, purchase orders, contact lists, and required documentation.
- Review contracts, scopes of work, drawings, specifications, estimates, and project requirements with the Project Manager.
- Maintain accurate and organized project documentation throughout the project lifecycle.
- Track permits, inspections, submittals, RFIs, change documentation, closeout requirements, and other project deliverables.
- Maintain current drawings, specifications, and revisions for field personnel.
- Assist with preparation of project kickoff and handoff information for foremen and field crews.
Project Coordination
- Assist the Project Manager with day-to-day coordination of multiple electrical projects.
- Communicate with foremen regarding manpower requirements, material needs, schedule changes, project issues, and upcoming work.
- Coordinate with general contractors, customers, suppliers, subcontractors, and other trades as required.
- Track project schedules, milestones, deficiencies, and outstanding items.
- Identify potential schedule, material, or coordination issues early and bring them to the Project Manager's attention.
- Help ensure field crews have the information and materials required to perform their work efficiently.
Purchasing & Materials
- Obtain pricing and availability from electrical suppliers and vendors.
- Prepare and issue purchase orders as authorized.
- Coordinate material orders and deliveries with suppliers and field personnel.
- Track major equipment and long-lead items.
- Compare supplier pricing against estimates and project budgets.
- Assist with managing material returns, credits, and project-specific inventory.
- Help develop and maintain strong relationships with key electrical suppliers.
Change Orders & Extra Work
- Assist with identifying and documenting changes in project scope.
- Collect labour, material, equipment, and subcontractor costs associated with changes.
- Prepare change order pricing for Project Manager review.
- Maintain change order and extra-work logs.
- Track submitted, approved, rejected, and outstanding change orders.
- Ensure field-directed extra work is documented appropriately before costs are lost or become difficult to recover.
Cost Tracking & Project Financials
- Assist with tracking project costs against estimated budgets.
- Review labour hours, material purchases, subcontractor costs, and committed costs.
- Identify cost overruns or unusual variances and communicate them to the Project Manager.
- Assist with project forecasting and cost-to-complete reviews.
- Support monthly progress billing and preparation of supporting documentation.
- Help ensure completed and extra work is captured and billed promptly.
- Assist with project closeout and final cost review.
Field Support
- Maintain regular communication with electrical foremen and field staff.
- Assist foremen with drawings, specifications, RFIs, material requests, change documentation, and other project information.
- Help coordinate manpower requirements with the Electrical Department Manager/Project Manager.
- Visit project sites as required to understand progress, upcoming requirements, and coordination issues.
- Support a culture of accountability, organization, quality, and safety within the electrical department.
Project Closeout
- Coordinate deficiency lists and track completion.
- Collect and organize as-built information from field personnel.
- Coordinate operating manuals, warranties, inspection documentation, permits, and other closeout requirements.
- Assist with final billing and outstanding change orders.
- Ensure project files are complete and properly archived.
- Participate in post-project reviews to identify lessons learned and opportunities to improve estimating and project execution.
Qualifications
- Experience in electrical construction, construction project coordination, estimating, project administration, or a related field.
- Strong understanding of construction processes and project documentation.
- Strong organizational and time-management skills.
- Ability to manage multiple projects and priorities simultaneously.
- Strong written and verbal communication skills.
- Comfortable working with project budgets, purchase orders, invoices, and cost reports.
- Proficiency with Microsoft Excel, Outlook, and common construction/project management software.
- Ability to read and understand construction drawings and specifications.
- Valid driver's licence and ability to visit project sites as required.
Preferred
- Previous experience with an electrical contractor.
- Electrical trade background, electrical apprenticeship experience, or electrical construction knowledge.
- Experience with estimating and takeoff software.
- Experience with construction accounting or project management software.
- Experience coordinating commercial, industrial, institutional, or multi-family electrical projects.
- Familiarity with electrical permits, inspections, procurement, and project closeout requirements.

Role Expectations
In a growing electrical department, the Electrical Project Coordinator will be expected to work across several areas rather than operate within a narrowly defined administrative role.
Initially, the position will provide significant support to the Electrical Department Manager/Project Manager in project coordination, purchasing, documentation, scheduling, change management, and cost tracking.
As the department grows, the successful candidate should develop the ability to independently coordinate smaller projects and take increasing responsibility for project performance.
Pay: $27.00-$36.00 per hour
