WHO YOU ARE
The successful candidate will have the following:
· One year of experience working in administrative or customer service support role.
· Experience working at a law firm or notary public office is considered an asset.
· Excellent verbal and written communication skills and are proficient with Microsoft® Office applications.
· Superior organizational and interpersonal skills, the ability to handle a high volume of work with tight deadlines and a keen attention to detail. You are able to use sound judgement to make decisions and can successfully manage multiple changing priorities.
· Excellent telephone manners.
· Ability to build rapport with clients, and are committed to providing timely, accurate responses to all stakeholders.
· be detail oriented and most importantly have the desire to learn.
WHAT YOU WILL DO
Your primary duties will be the following:
- Greet and welcome clients in a professional and courteous manner.
- Complete client intake procedures, including scanning and verifying identification documents.
- Handle and distribute incoming and outgoing correspondence.
- Maintain boardrooms, meeting areas, and kitchen facilities to ensure they are clean, organized, and well-stocked.
- Assist with the receipt, sorting, and distribution of incoming mail.
- Monitor and replenish office supplies as required.
- Provide administrative support, including photocopying, scanning, data entry, document preparation, and filing.
- Arrange and coordinate courier services.
- Complete bank runs and other routine office errands as required.
- Assist with file openings and file closings in accordance with office procedures.
- Conduct conflict-of-interest searches and other required searches.
- Provide clerical and administrative support to lawyers and staff as requested.
- Perform other related duties and responsibilities as required.
- Assist with occasional office errands and other general administrative tasks.
