Commercial Real Estate Administrative Assistant
Position Summary
We are seeking a highly organized and proactive Administrative Assistant to support commercial real estate agent. The successful candidate ensures smooth day-to-day operations by managing client correspondence, maintaining property listings, coordinating transactions, and preparing commercial real estate documentation.
Key Responsibilities
Transaction & Contract Management
- Prepare, process, and track commercial real estate documents, including lease agreements, and sales contracts.
- Coordinate and collect signatures and ensure all contractual terms and deadlines are met.
- Manage transaction timelines and communicate updates to clients, agents, and stakeholders.
Marketing & Listing Management
- Create, update, and maintain commercial property listings across listing platforms and company websites.
- Coordinate marketing materials, including property brochures, feature sheets, flyers, and email campaigns.
- Maintain organized databases of property photos, floor plans, and relevant marketing data for presentations.
- Manage social media marketing including team websites, Instagram, Facebook, LinkedIn.
Client Services & Administration
- Serve a point of contact for clients, tenants, and prospects via phone and email.
- Schedule property showings, site tours, and client meetings.
- Maintain accurate client and contact records.
Qualifications & Skills
- 1–3 years of administrative experience, preferably in real estate.
- Post-secondary education in business administration or equivalent experience is an asset.
- Strong proficiency in Microsoft Office (Word, Excel, Outlook) and experience with real estate platforms in BC.
- Knowledge and hands-on experience with CREA WebForms, Authentisign, Matrix MLS, LoopNet, and commercial listing platforms.
- Experience with Canva and Adobe Acrobat for marketing design, document editing, and listing preparation.
- Strong understanding of digital file management systems including OneDrive and structured transaction folders.
- Excellent organization and time-management skills with the ability to multitask in a fast-paced environment.
- Strong written and verbal communication skills, with attention to detail and professionalism in client interactions.
