Are you an administrative professional with strong coordinating and data analyzing capabilities? We are looking for soeone with a high attention to detail to work with a PHSA agency to process data and provide support to a unit specializing in patient care projects.
What you’ll do
Under the direction of the Provincial Director of the department, the role executes a variety of analyses related to clinical management, quality assurance, and operational standards, and contributes strategically to the team in the ongoing development and improvement of patient data collection practices. This role proactively identifies emerging data issues and works with the Provincial Director to establish policies, as required and provides timely feedback to all program departments regarding data quality.
The administrative assistant also plans, coordinates and oversees the annual audit of medical charts and verifies inputted data for completeness and accuracy. This role is also responsible for the design, coordination and delivery of training sessions for data entry clerks and triage coordinators across the province.
Provides confidential administrative and secretarial support
Coordinates the flow of information, communicates internally and externally to respond to inquiries and clarify details
Provides project support, researches information, tracks statistical data, and compiles and analyzes data involving new projects, and the interpretation and application of policies and procedures.
Produces timely, accurate and well formatted documents using various word processing, spreadsheet and presentation software packages, including creation of tables, spreadsheets, presentations and reports. Enters and collects data, and compiles relevant statistical information and reports.
Demonstrated ability to work both independently and collaboratively, resolve administrative issues/problems, prioritize workload, and to be flexible to meet and adapt to changes in organizational priorities. Demonstrated ability to use Microsoft Office applications, including word processing, spreadsheet and presentation software, at an advanced level. Demonstrated organizational skills and ability to prioritize workload and work under time pressures to meet deadlines. Demonstrated ability to communicate effectively both verbally and in writing, including the ability to respond professionally, courteously, and in a clear manner. Demonstrated interpersonal and time management skills. Demonstrated ability to record and transcribe minutes of meetings.
Verifying patient data collected and entered into the Registry
Verifies inputted data for completeness and accuracy
Delivery of training sessions for data entry clerks
Analyses related to clinical management, quality assurance, and operational standards
Proactively identifies emerging data issues
Influences the development and improvement of data collection protocol to deliver best practice
Identifies ways to improve data quality, the need for new policies and identifies remedies for data-related issues. Ability to think strategically and innovatively. Ability to maintain absolute discretion with respect to highly confidential correspondence and reports. Proven ability to perform routine data processing. Good organizational skills, attentive to detail with the ability to work quickly and accurately, and ability to work under pressure and meet deadlines. Ability to quickly acquire knowledge and to operate a microcomputer in accordance with instructions provided. Effective communicator and able to converse effectively with multidisciplinary health care professionals both internally and externally through both written and verbal means. Ability to work independently through both written and verbal means. Ability to work independently with minimal supervision.
Responds to verbal and written communication and liaises internally and externally to respond to, share information, clarify details, and ensure follow-up by relevant personnel on emergent issues.
Maintains accurate data entry and integrity of patient information by verifying and auditing the completeness of patient data entered.
What you bring
An education qualification from Grade 12 and formal secretarial program to University level in Computer or Health Information Science program.
