POSITION SUMMARY
The Part-Time Building Manager is an on-site administrative role responsible for the day-to-day operational and clerical functions of The Artiste, a fully Aragon-owned rental property in Vancouver. This role is admin-heavy and execution-focused: maintaining accurate resident files, coordinating vendors and trades, processing invoices, scheduling move-ins and move-outs, and keeping the building's operating documentation in order.
This is not a leasing or showings role and does not involve strata meetings or owner correspondence. The Building Manager works the two heaviest administrative days of the week to keep the building's back-end running smoothly so on-site, leasing, and asset management teams can focus on their respective mandates.
KEY RESPONSIBILITIES
- Provide direct administrative support to the two building managers, including calendar management, drafting correspondence, and organizing daily task lists.
- Respond to resident inquiries in person, by phone, and by email; escalate items to the appropriate building manager when required.
- Maintain accurate building records, resident files, move-in/move-out documentation, parking and storage assignments, and key/fob logs.
- Prepare, format, and distribute notices, memos, and resident communications.
- Maintain and organize files in SharePoint, ensuring proper folder structure, version control, and permissions.
- Track work orders and service requests; coordinate with trades, contractors, and vendors for scheduling and follow-up.
- Assist with invoice intake, and submission for approval; maintain supporting documentation.
- Support compliance tracking (insurance certificates, contractor documentation, inspections, etc.).
- Order office supplies and manage incoming/outgoing mail and packages.
- Assist with meeting coordination, including agendas, minutes, and follow-up action items.
- Support ad hoc projects and reporting as directed by the building managers or asset management team.
REQUIRED QUALIFICATIONS
- Minimum 2 years of experience in a similar administrative or property management support role.
- Proficiency with Microsoft 365 (Outlook, Word, Excel, Teams).
- Working knowledge of SharePoint, including file management, libraries, and basic permissions.
- Strong written and verbal communication skills.
- High level of professionalism, discretion, and customer service orientation.
- Strong organizational skills with the ability to prioritize and manage multiple tasks.
- Reliable, punctual, and able to work independently on-site.
PREFERRED QUALIFICATIONS
- Experience working in residential property management, strata, or rental operations.
- Familiarity with property management software SharePoint
- Experience handling resident-facing communications in a multifamily or strata setting.
- Can work Tuesday, Wednesday and possibly Thursday (to be determined)
