Job Summary
We are a family owned company known for our incredible customer service, and now we are looking for a new addition to our tight knit team. We are looking for a full time office administrator. In this vital role, you will be the backbone of our daily operations, ensuring that office functions run smoothly and efficiently. Full cycle accounting including accounts receivable, accounts payable, general ledger and payroll for an average of 14 employees.
Duties
- Manage front desk operations, including greeting visitors, answering multi-line phone systems, and providing excellent customer support with professional phone etiquette.
- Maintain organized filing systems—both digital and paper—to ensure quick retrieval of documents and compliance with record-keeping standards.
- Support administrative functions such as scheduling appointments, coordinating meetings, and preparing correspondence.
- Assist with medical or dental office procedures by handling patient records, verifying insurance information, and supporting front desk activities in healthcare environments.
- Conduct proofreading of documents to ensure clarity and accuracy before distribution.
- Provide general clerical support including photocopying, scanning, faxing, and managing office supplies to keep the workspace well-stocked and efficient.
- Prepare and submit annual WCB return and Quarterly GST Returns
- Manage a high number of emails daily
- Microsoft Office capabilities - notably Excel
- Prepare documentation and communicate with outside accountants
Qualifications
Proficiency in Microsoft Office Suite (Word, Excel, Outlook,Sage50)
- Excellent computer skills with a keen eye for detail in data entry and proofreading tasks.
- Solid experience with Sage 50 accounting software
- Strong organizational skills with the ability to prioritize tasks effectively in a busy environment.
- Exceptional customer service skills paired with professional phone etiquette for handling inquiries via multi-line phone systems.
- Demonstrated ability to perform typing quickly and accurately while maintaining high levels of accuracy in documentation.
Pay: $70,000.00-$125,000.00 per year
