MEDICAL OFFICE ASSISTANT (MOA) – FULL-TIME
Urology Surgical Practice – St. Paul’s Hospital
We are seeking a highly organized and professional Medical Office Assistant (MOA) to join our busy urology surgical practice located at St. Paul’s Hospital. This full-time position offers an excellent opportunity to work closely with a urologist in a fast-paced clinical environment, supporting the delivery of high-quality patient care.
Comprehensive training will be provided by the current Medical Office Assistant to ensure a smooth transition into the role.
Key Responsibilities
The successful candidate will be responsible for a variety of administrative and patient-care coordination duties, including but not limited to:
- Scheduling and coordinating outpatient clinic appointments, consultations, and follow-up visits.
- Booking and managing surgical procedures, including operating room scheduling and related documentation.
- Serving as a primary point of contact for patients, families, healthcare providers, and hospital departments via telephone and email.
- Managing patient referrals, medical correspondence, reports, and incoming/outgoing mail.
- Processing physician billings and maintaining accurate records in accordance with clinic and provincial guidelines.
- Coordinating physician schedules, clinic activities, and meetings.
- Maintaining confidential patient information and ensuring compliance with privacy and healthcare regulations.
- Assisting with electronic medical record (EMR) management and other administrative duties as required.

Qualifications
- High school diploma or equivalent.
- Medical Office Assistant (MOA) certificate preferred; an equivalent combination of education and relevant experience will be considered.
- Previous experience in a medical office, specialist clinic, surgical practice, or clinical secretarial role is strongly preferred.
- Experience working in a hospital or specialist practice setting is considered an asset.
Skills and Experience
- Experience with Plexia or other Electronic Medical Record (EMR) systems is an asset.
- Proficiency with Microsoft Outlook and standard office software.
- Strong organizational and time-management skills with the ability to prioritize multiple tasks.
- Excellent interpersonal, written, and verbal communication skills.
- Professional, compassionate, and patient-centered approach to care.
- Ability to work independently while collaborating effectively with physicians, nurses, allied health professionals, and administrative staff.
- Knowledge of medical terminology, particularly urological and surgical terminology, is considered an asset.
