ADMINISTRATIVE COORDINATOR POSITION

The administrative coordinator is responsible for maintaining and improving the performance of the team by being involved in the planning of operations, labour, equipment and traffic. The coordinator oversees the clerical and administrative duties in the office and ensures that the administrative, secretarial and clerical support is given to the team, including inventory reports and balancing data.

DAILY YOU WILL HAVE TO:

  • Plan for labour and equipment needs for operations in collaboration with the Manager and the Supervisor
  • Maintain relationships between different partners and clients
  • Schedule transfer of cargo for loading ships or deliveries to the mill
  • Participate with expectations and standards for setting operating objectives for the team
  • Adapt work according to client’s request
  • Must be able to communicate with various service providers to arrange the necessary tools for operations
  • Maintain operational data to produce reports and statistics required
  • Assist the Operations Manager with coaching and implement changes that may be required with the team
  • Responding to inquiries from other departments and external stakeholders
  • Use previous experience to develop new working methods as well as improving and optimizing existing ones
  • Participate in the analysis and investigation of reports and propose corrective action that can be taken as well as improvements
  • Verifying the accuracy of the data entered into the system
  • Receive necessary documents for the release of material from the client
  • Enter the data into the system to produce the necessary documents for delivery to the clients
  • Receive plans from supervisors in order to supply updates
  • Print and distribute terminal plans or any other documentation for the next day
  • Produce inventory reports and vessel documents
  • Answer incoming calls and transfer to the appropriate party
  • Transmit radio information to the terminal supervisors upon request
  • Conduct requisitions of equipment or service
  • Maintain up-to-date registers, count and balance data
  • Enter employees’ hours of work in the pay system and track absences

WHAT YOU NEED TO SUCCEED:

  • Diploma or certification in Logistics or Administration
  • Knowledge and previous experience working within the shipping industry (asset)
  • Available for days, evenings and weekend work
  • Knowledge of Microsoft Office
  • Previous management skills
  • Proven relationship building
  • Excellent communication/negotiating skills
  • Must have reliable transportation
