Hours: Primarily daytime shifts (approximately 6:45 AM –2:45 PM), with flexibility to work afternoon, evening, weekend, and holiday shifts as operationally required.

Key Responsibilities
As a Front Desk Agent, you are the face of the Best Western Cowichan Valley Inn and play a vital role in creating exceptional guest experiences.
Guest Experience
- Welcome every guest with warmth, professionalism, and genuine hospitality.
- Deliver outstanding service throughout every stage of the guest journey.
- Respond promptly and professionally to guest inquiries, requests, and concerns.
- Resolve guest concerns independently whenever possible, escalating issues appropriately when required.
- Promote hotel amenities, services, Best Western Rewards, and local attractions.
Front Office Operations
- Complete guest arrivals and departures accurately and efficiently.
- Manage reservations, cancellations, room assignments, and guest profiles.
- Maintain accurate room inventory and occupancy information.
- Process payments and balance daily financial transactions.
- Protect confidential guest information and follow all privacy standards.
Reservations & Group Coordination
- Coordinate individual and group reservations with accuracy and attention to detail.
- Prepare and manage rooming lists, billing arrangements, and special requests.
- Work closely with Housekeeping, and other departments to ensure smooth group arrivals and departures.
- Monitor reservations proactively to identify and resolve discrepancies before guest arrival.
Communication & Teamwork
- Coordinate room status updates with Housekeeping.
- Communicate maintenance concerns promptly and accurately.
- Maintain thorough shift notes and ensure effective handovers.
- Support fellow team members during busy periods and contribute to a positive workplace culture.
Property Standards
- Maintain a clean, organized, and welcoming front desk and lobby.
- Follow all hotel policies, Best Western brand standards, health and safety procedures, and emergency protocols.
- Present a professional appearance and conduct yourself with integrity at all times.
Professional Development
- Participate in training, coaching, and continuous learning opportunities.
- Develop leadership skills in preparation for future advancement.
- Contribute ideas that improve guest satisfaction and hotel operations.
Additional Responsibilities
Hospitality is a team environment where flexibility is extremely important. Employees may be asked to perform other duties that are reasonably related to the purpose and scope of the Front Desk Agent position. This may include supporting other departments during periods of high occupancy, assisting with group arrivals, administrative projects, guest service initiatives, training activities, or other operational responsibilities that contribute to the success of the Best Western Cowichan Valley Inn. All additional duties will be appropriate to the employee's training, experience, and the operational needs of the hotel.
