Position Summary
Centennial College is looking for a Curricula Database Enrolment Systems Officer to join our Student Records team. Reporting to the Manager of Student Records and Registration the incumbent is accountable for a wide-range of services related to the on-line student database system of records, Banner/Academic Information System (AIS) and has the overall responsibility for integrity of on-line data, in support of the Enrolment Services Office goals. The incumbent will provide technical leadership and participates on a variety of special projects for evaluation, enhancement and implementation of Academic Information System (AIS) systems and related administrative processes in the Enrolment Services Office.
Responsibilities
- Maintains and updates the Banner/Academic Information System (AIS) by developing and coordinating system models and managing curriculum, prerequisite, and system control table data for both student and web functions.
- Plans and organizes the development of the Curriculum database files. Verifies accuracy and analyses requirements for building various program model routes for all programs
- Provides technical training and related guidance to Student Records staff.
- Conducts electronic database audits, manipulates, produces and analyses a variety of diagnostic systems reports; ensures accuracy/integrity of student enrolment database records and makes updates/corrections in preparation of the full-time and part-time enrolment audit by College Auditors.
- Organizes and completes the annual part-time enrolment audit process; analyses Ministry reporting requirements, compiles/disseminates the College Auditors enrolment report for receipt of Ministry grant funding.
- Conducts detailed reviews and analysis of diagnostic reports and makes necessary corrections or updates for enrolment database
- Assists the manager on enrolment research and analysis as it applies to historical trends by using appropriate queries, manipulating and downloading data and producing statistical reports
- Participates in AIS testing projects to maximize operational efficiencies
- Performs other duties as required.
Qualifications/Experience
- Minimum three (3) year diploma/degree in Business, Marketing or Computer Science, Programmer or Analyst or equivalent combination of relevant education and experience.
- Minimum five (5) years’ related experience working with integrated student systems (Banner preferred), including applying policies/procedures and performing statistical research, analysis, and reporting, preferably in a post-secondary enrolment service environment.
- Strong understanding of ministry enrolment reporting requirements and solid knowledge of Enrolment Services functions, policies, and procedures
- Knowledge and experience conducting research on industry best practices and systems to support student services
- Proficiency in use of networked computer systems and various software packages (e.g., Student Information Systems, Windows, Microsoft Word, Excel, Access, Oracle, Cognos Impromptu report writer, Cognos Reportnet report writer, Internet browser, College Websites)
- Ability to learn independently with strong initiative to adapt and work with new processes and changing technology.
- Strong organizational skills and understanding of project management practices to prioritise work effectively; proven ability to work accurately under pressure with the flexibility to handle multiple tasks with conflicting deadlines within given objectives and established timelines.
- Demonstrated ability to work independently or as part of a team with minimal supervision in a high volume office.
- Strong analytical and statistical skills with the ability to interpret, organize, and explain complex enrollment and comparative data to support high quality decision making.
- Keen sense of accuracy and attention to detail.
- Demonstrated communication (both oral and written), interpersonal, customer service skills.
- Ability to interact with sensitivity to the diverse background and needs of students, applicants and the general public.
