We are looking for an experienced, organized and detail-oriented Bookkeeper & Administrative Assistant to join our team.
This position is responsible for the day-to-day bookkeeping functions of the company while also providing administrative support to ownership and management. The ideal candidate is dependable, highly organized, comfortable working independently and takes pride in keeping things accurate, organized and moving forward.

Bookkeeping Responsibilities
- Manage day-to-day accounts payable and accounts receivable.
- Process, code and enter invoices and expenses accurately and in a timely manner.
- Prepare customer invoices and process and record payments.
- Reconcile bank accounts, credit cards and other financial accounts.
- Maintain accurate and organized financial records and supporting documentation.
- Assist with payroll administration and related record keeping.
- Prepare information required for GST, PST and other government remittances.
- Assist with month-end and year-end accounting processes.
- Maintain vendor accounts and investigate and resolve discrepancies.
- Monitor accounts receivable and assist with follow-up on outstanding accounts.
- Prepare financial information and reports for management as required.
- Work with the company's external accountant and other professional advisors as required.
Administrative Support
- Provide administrative support with general office correspondence, email and phone inquiries.
- Assist with the administration of company phone systems and other office services.
- Maintain employee records and documentation with a high level of confidentiality and discretion.
- Assist with onboarding paperwork, employee documentation and filing.
- Help maintain organized, professional and welcoming office and common areas.
- Monitor and maintain kitchen, coffee and general office supplies, coordinating orders as required.
- Assist with the coordination and organization of company events, meetings and staff activities.
- Support management with administrative projects, and grant applications/submissions.
- Assist with company communications, including the preparation and distribution of internal notices, correspondence and other materials.
- Provide general administrative assistance and support day-to-day office needs as required.
Skills & Qualifications
- Self-starter
- Previous bookkeeping experience is required.
- Strong understanding of accounts payable, accounts receivable and account reconciliation.
- Experience with QBO and/or ERP software.
- Strong computer skills, including Microsoft Office, Outlook, Word and Excel.
- Excellent attention to detail and a high degree of accuracy.
- Strong organizational and time-management skills.
- Ability to prioritize and manage multiple responsibilities and deadlines.
- Professional written and verbal communication skills.
- Ability to work independently while also being part of a collaborative team.
- Dependable, self-motivated and willing to take initiative.
- Ability to exercise discretion and maintain confidentiality when handling financial, employee and company information.
- Comfortable learning new software, systems and processes.
- High School Diploma required; bookkeeping, accounting or business administration education is an asset.

Pay: $27.00-$34.00 per hour
Expected hours: 20.0 – 40.0 per week
