Position Summary
AllStar Auctions located in Oro-Medonte is currently seeking a motivated and detail-oriented Accounting/Administrative Assistant to join our growing team. Ideal for an individual who thrives in a fast-paced environment, possesses strong communication and organizational skills and can easily alternate between an accounting and administrative environment.
The successful candidate will support the Controller with daily and auction operations as well as assisting the front end administrative team with various auction tasks. Depending on experience the position will range from part to full time with a starting wage ranging from $20-$22 per hour based on qualifications.
Accounting Responsibilities
- Support the accounting department with A/R, A/P, expense tracking, data entry and reconciliations in QuickBooks
- Creating, updating and reviewing various auction spreadsheets
- Working directly with the Controller with month and year end procedures
- Other duties as assigned by the Controller and/or General Manager
Administration Responsibilities
- Greet customers and visitors in a professional and friendly manner
- Answer incoming phone calls and respond to customer inquiries
- Explain auction terms, conditions, and bidding procedures to customers
- Direct customers to the appropriate department or staff member as needed
- Maintain accurate records and documentation
- Assist with inventory control
- General office and filing duties
Auction/Related Responsibilities
- Track consignments arriving at the yard
- Enter and update consignment information in Salesforce and AuctionFlex
- Upload photos and videos to auction listings
- Auction day invoicing and invoice follow up
- Ensure all payment transactions are completed accurately and efficiently within the auction software
- Assisting with auction payables
- Create invoices as required
- Follow up with bidders regarding outstanding invoices
- Book pickup appointments for customers
- Prepare and organize required paperwork and documentation
Requirements
- College Diploma in business or administration or equivalent in work experience
- Proficient with QuickBooks and Microsoft Office (Outlook, Word, Excel)
- Minimum 1 year proven accounting/bookkeeping and office administration experience
- Ability to maintain priorities while maintaining high quality work
- Ability to work independently and collaboratively within a team
- Strong analytical and problem solving skills
- Strong verbal, written and interpersonal communication skills
- Ability to manage stress and work effectively under pressure and varying work pace situations

- Reliable vehicle required (no public transportation available)
- Flexibility to work weekends and early shifts as needed

- Bilingualism (English/French or English/Spanish) an asset
- Auction industry experience an asset
- Salesforce/CRM and Auctionflex experience an asset but not mandatory
