Overview
We are seeking a detail-oriented and professional Accounting Assistant/Receptionist to join our team. This role offers a dynamic environment where you will handle both administrative and accounting tasks, ensuring smooth office operations. The ideal candidate will possess strong organizational skills, excellent customer service abilities, and proficiency with various office software. Experience Reception, Sage 300, and Microsoft Office is highly desirable. This position is essential in maintaining efficient front desk operations while supporting our accounting functions.
Duties
- Greet visitors and manage front desk responsibilities using multi-line phone systems
- Answer and direct incoming calls with professional phone etiquette
- Manage appointment scheduling and coordinate patient or client inquiries
- Perform data entry tasks accurately into accounting software such as Sage 300
- Assist with bookkeeping, invoicing, and billing processes
- Maintain organized filing systems for both physical and electronic documents
- Support administrative tasks including proofreading, document preparation, and record keeping
- Provide customer support via phone or in-person, ensuring high-quality service
- Handle clerical duties such as copying, scanning, and mailing documents
- Support medical operations as needed, including patient check-in/out processes
Skills
- Proficiency with Sage/Simply Accounting, Microsoft Office Suite (Word, Excel, Outlook), and Teams
- Strong computer skills with the ability to perform data entry efficiently and accurately
- Previous clerical or administrative experience preferred, especially in medical or dental offices
- Excellent organizational skills with the ability to multitask effectively in a fast-paced environment
- Strong customer service skills with professional phone etiquette and support capabilities
- Ability to handle filing systems both digitally and physically with attention to detail
- Typing speed and accuracy for efficient document processing
- Proofreading skills to ensure error-free correspondence and documentation
- Experience with bookkeeping and basic accounting procedures is a plus
- Knowledge of front desk operations and multi-line phone systems
- Excellent English skills, both oral and written, and the ability to communicate clearly at all levels including with Customers & Suppliers.
