The Opportunity
Responsible for primary administrative support of Service Operations and secondary support for Parts Operations
The Role
- Greets visitors, customers and vendors
- Answering the telephone
- Managing incoming/outgoing mail
- Open service workorders
- Prepares estimates as required and obtain purchase order numbers
- Responds to customers in a timely manner; delivering strong internal and external service
- Check customer accounts and set up new accounts as required
- Strong communication between technicians, administration, parts and customers
- Posting time to workorders and completing payroll
- Builds and maintains strong customer relations including interacting directly, booking appointments, obtaining purchase orders and handling inquiries
- Take customer calls and schedule technicians for service work as required
- Ensures open lines of communication are maintained between the customer and service/parts department throughout the workorder process as needed
- Monitor shop job statuses and workflows for repair jobs. Ensure adherence to processes, timelines, estimates and schedules and report to service manager
- Issuing internal MRO purchase order numbers; track and receive vendor invoices
- Perform any other duties assigned
The Candidate
- Education: College diploma / Post secondary Education
- Work Experience: 2 years related experience in service, parts, supply chain or product support operations
- Knowledge: Basic knowledge of heavy equipment and/or truck & coach industry sectors is an asset
- Proficiency: Microsoft Office, including Outlook, Excel, Word and PowerPoint
- Environment: Work in a face paced office environment subject to frequent interruptions.
- Flexibility is required during specific high-demand periods
