About the Role
We are currently hiring for both Part-Time and Full-Time Client Care & Communications Coordinator positions.
This is an in-person role at Life Collective Counselling that blends client care, administration, and creative communications. Reporting to the Office Manager, you'll be the first point of contact for clients while supporting the day-to-day operations of the clinic. You'll also help bring Life Collective's voice to life through social media, workshops, community events, and other creative initiatives.
This role requires flexibility to work a combination of daytime, evening, and weekend shifts. Weekend availability is required.
Curiosity about Life Collective's unique voice, work culture, and the mental health industry is essential for creating a safe, welcoming, and supportive experience for both clients and staff.
Key Responsibilities
Client Care
- Be the first friendly point of contact for clients via phone and email
- Manage client scheduling, intake, and referrals using Jane
- Process payments, issue receipts, and assist with insurance billing
- Maintain accurate and confidential client records
- Create a calm, professional, and welcoming experience for every client
Administrative Support
- Support the Office Manager with day-to-day clinic operations
- Assist therapists with scheduling and document coordination
- Help prepare workshop materials, handouts, and presentation resources
- Assist with planning and coordinating workshops, events, and clinic initiatives
- Organize office supplies, maintain inventory, and liaise with vendors
- Support general administrative tasks that help the clinic run smoothly
Social Media & Community Engagement
- Create engaging Canva graphics and promotional materials
- Schedule and publish content across Instagram and Facebook
- Capture and create fun, authentic short-form content (Reels) that reflects the clinic's values and personality
- Brainstorm creative content ideas to increase community engagement and brand awareness
- Support the promotion of workshops, podcasts, events, and clinic initiatives
- Help maintain a consistent and professional online presence aligned with the Life Collective brand

Required Qualifications
- Excellent written and verbal communication skills
- Mature, grounded, and emotionally intelligent
- Comfortable working in a confidential clinical environment
- Strong organizational and time management skills
- Proficiency with Google Workspace
- Interest in mental health, psychology, or healthcare
- Availability to work evenings and weekends
- Criminal Record Check and Child Intervention Check required
Bonus Assets
- Experience using Canva
- Experience managing social media accounts (Instagram and Facebook)
- Experience using Jane or similar scheduling software
- Background in customer service, healthcare, or wellness
- A good eye for design and attention to detail
