Administrative assistant

The Administrative assistant will answer inbound calls and respond to emails in order to book clients for medicals. This person will also provide administrative support to some our professionals and will act as a replacement at the reception when needed.

Major responsibilities for the Administrative assistant

Outbound calls and follow up emails to clients to book appointments
Effectively manage all tasks and follow-up related to telephone or email inquiries from clients/companies
Maintain up to date client information in database: contact info, what/where results should be sent
Provide clients and companies with information about Medisys
Update client lists and prepare executive packages
Front desk reception relief as required
Responsible for maintaining and ordering supplies for the executive lounge
General filing and other administrative support tasks (including special projects)
Work collaboratively and effectively with all team members to provide a welcoming and client focused environment
Qualifications for the Administrative assistant

Completion of high school or equivalent
1 – 2 years’ experience providing telephone support/making outbound calls in a fast paced environment providing a high degree of patient care/customer service
Excellent command of the English language, both verbal and written
Exhibits a professional image, mature communication style and polished telephone manner with clients
Ability to handle sensitive situations with tact while respecting patient confidentiality at all times
Self-starter who demonstrates a high level of accountability and sound judgement;
Attention to detail and ability to manage time effectively
Strong work ethic and takes ownership to complete a task from start to finish
Demonstrates flexibility and the ability to work effectively in a team environment
Demonstrates effective organizational, multitasking and problem solving abilities
Proficient with Microsoft Office applications (Word, Outlook, Excel and PowerPoint)
Exposure to patient databases and/or appointment scheduling software would be ideal
