What you'll do
In accordance with the Mission, Vision and Values, and strategic directions of Provincial Health Services Authority patient safety is a priority and a responsibility shared by everyone at PHSA, and as such, the requirement to continuously improve quality and safety is inherent in all aspects of this position. The Staffing Clerk allocates / calls in relief staff and performs related staffing functions inclusive of timekeeping for the clinical areas, utilizing computerized staffing systems.
Receives requests for relief coverage from clinical areas, and utilizing the computerized staffing system, determines the availability of staff according to established guidelines.
Receives and processes leave requests in accordance with established policies and guidelines. Performs all related data entry as per established procedure.
Allocates and calls in relief staff to fill vacancies resulting from unfilled positions, vacations, leaves of absence and sick leaves, in accordance with pre-established guidelines and the applicable Collective Agreement. Inputs this information into the computerized staffing system.
Receives and inputs into computerized staffing system all scheduling and rotational changes for self-scheduling areas.
Prints from computerized staffing system, daily, weekly and annual reports such as daily flow sheets, schedules and master rotations, as required.
Maintains accurate computerized records, including employee demographics, availability, approved areas for work, and work schedules.
Receives / reviews time sheets, codes payroll information onto time cards, and submits to Payroll as per established schedule.
Liaises with both internal and external clients (HR and Payroll), either by email or verbal with regards to employees’ enquiries such as vacation entitlements, sick and overtime banks; answers employee enquiries regarding interpretation of collective agreements such as vacation accumulation, levelling and pay policies.
Collects and maintains statistics, such as numbers of shifts filled, overtime hours per pay period, as requested
What you bring
Grade 12 and three year’s recent related experience or an equivalent combination of education, training and experience.
Communicate effectively both verbally and in writing.
Deal with others effectively.
Organize work.
Operate related equipment.
Physical ability to perform the duties of the position
