About the Position
The Winnipeg Arts Council is seeking a helpful, highly organized, and self-motivated individual to take on the key role of Administrative and Communications Assistant. This position is crucial to the smooth operation of the office, ensuring that administrative tasks are efficiently handled. The Assistant will be responsible for a wide range of administrative duties, from managing office reception and data entry to coordinating meetings and overseeing the organization’s website and social media accounts. The position reports to the Executive Director, supports a team of four, and is supervised by the Operations Manager.
Major Responsibilities
- Oversee office reception, including front desk duties, directing calls,and general office support.
- Maintain a clean and organized office environment.
- Perform grant, public art and financial data entry and records retrieval.
- Update website content, including the weekly e-billboard via MailChimp.
- Coordinate meetings and events, including setting up projectors, audio, and Zoom/Teams meetings, taking notes, and arranging catering.
- Maintain social media channels, ensuring consistent and engaging communication.
- Assist in the delivery of programs and direct support to the Operations Manager.
- Collect and maintain contacts and materials, including photographic images.
- Perform other administrative duties as required.
Required Skills and Qualifications
- Strong client service skills with a friendly and helpful demeanor.
- Tech-savvy, with working knowledge of Microsoft 365, including a strong command of document formatting, spreadsheets, and slide presentations.
- Strong organizational skills with a high level of time management and follow through.
- Self-starter with a keen attention to detail and the ability to identify needs and take independent action.
- Excellent communication and English writing skills.
- Experience working with social media and content development is an asset.
- Experience with MailChimp, Canva, and/or Adobe Creative Suite is an asset (training may be provided).
- Some design and photo editing skills are an asset.
- Relevant studies and/or professional experience are considered an asset.
