About the Role
We are seeking a compassionate, organized, and detail-oriented Family Law Legal Administrator to join our growing practice. The successful candidate will provide administrative support to our family law team while serving as one of the first points of contact for clients navigating separation, divorce, parenting, support, and property matters. The ideal candidate is professional, empathetic, and able to manage sensitive and confidential information with discretion.
Key Responsibilities
- Prepare, format, proofread, and file family law documents, correspondence, court forms, and financial disclosure materials.
- Coordinate client meetings, mediations, case conferences, court appearances, and appointments.
- Manage lawyers' calendars and monitor critical court and filing deadlines.
- Open, maintain, and organize electronic and physical client files.
- Communicate professionally with clients, opposing counsel, courts, and third-party service providers.
- Assist with drafting routine correspondence and legal documents under lawyer direction.
- Prepare court filing packages and ensure compliance with applicable court rules and filing procedures.
- Manage incoming and outgoing correspondence, telephone calls, and client inquiries.
- Process client billing, trust requests, invoices, and retainers.
- Maintain strict confidentiality while providing exceptional client service throughout the legal process.
- Other tasks as assigned.
Desired Qualifications
- Diploma or certificate in Administration or a related field.
- Minimum of 2 years of administrative experience, with experience in family law preferred.
- Working knowledge of family court procedures, legal terminology, and document preparation.
- Proficiency with Microsoft Office (Word, Outlook, Excel) and legal practice management software, (Divorce Mate, PC Law, and Case Center)
- Strong organizational skills with the ability to prioritize multiple deadlines.
- Excellent written and verbal communication skills.
- High level of accuracy, professionalism, and attention to detail.
- Ability to work independently while contributing positively to a collaborative team environment.
Preferred Qualifications
- Experience preparing court forms and financial disclosure documents.
- Familiarity with electronic court filing systems.
- Experience using legal accounting or practice management software.
- Knowledge of applicable family law legislation and court procedures.
