Key Responsibilities
- Serve as the first point of contact by greeting visitors, clients, vendors, and employees professionally, answering and directing calls on a multi-line phone system, and maintaining front desk visitor procedures.
- Maintain a tidy, organized, and professional office environment, including the reception area, shared office spaces, and kitchens; assist with light daily upkeep such as occasionally emptying waste bins, running and emptying the dishwasher, watering plants, and keeping common areas presentable.
- Receive, sort, and distribute incoming mail, courier deliveries, and packages; prepare outgoing mail and courier packages as required.
- Support day-to-day office administration, including scheduling meetings, booking boardrooms, coordinating basic office logistics, schedule maintenance, organizing supplies, ordering and maintaining office inventory, and supporting other administrative staff as needed.
- Maintain office equipment such as the postage meter and copier machines, including arranging service calls, ordering supplies, and replenishing paper, toner, postage, and related materials as needed.
- Perform general clerical duties such as photocopying, scanning, filing, document preparation, and maintaining organized electronic and physical records.
- Support accounting department processes by organizing documentation, preparing files for review, matching invoices, purchase orders, packing slips, and supporting documents, logging cheques, data entry, and other related tasks as required.
- Provide administrative and backup support to management, the accounting department, and the office team, and perform other related duties as required.
Qualifications & Skills
- Previous front desk, receptionist, office administration, basic accounting/bookkeeping experience preferred; accounting-related experience is considered an asset.
- Fluent in both written and oral English.
- Strong communication and interpersonal skills with a professional phone manner.
- Excellent attention to detail and accuracy.
- Strong organizational and time-management skills with the ability to prioritize tasks.
- Proficiency with Microsoft Office, including Word, Excel, Outlook, and Teams.
- Comfortable with accounting software (ie Microsoft Dynamics)
- Comfortable using office equipment such as phones, printers, scanners, and photocopiers.
- Ability to work independently while also contributing positively to a team environment.
- Positive attitude, professional appearance, and willingness to assist where needed.
Schedule & Work Environment
- Part-time position based on-site in a corporate office environment.
- Monday thru Thursday 10am – 3pm; Friday 10am – 2pm
- On-site role requiring professionalism, punctuality, and dependability.
Pay: $20.00-$23.00 per hour
