Position Overview:
The Inventory Coordinator is responsible for fuel inventory operations, ensuring accurate tracking, reconciliation, and reporting across multiple locations. The Inventory Coordinator supports billing, inventory planning, and fuel ordering to maintain supply levels. This position also oversees maintenance records, procurement, and parts inventory to support operational readiness.
Essential Duties and Responsibilities (Including but not limited to):
Inventory Management (Primary)
- Manage inventory control processes and maintain accurate inventory records across all Atlantic locations utilizing i6 and other applicable inventory management systems;
- Record fuel recipients in i6 or any other required fueling record system and ensure accuracy and completeness of all inventory transactions;
- Complete daily, weekly, and monthly inventory reconciliations, including customer inventory reconciliations, incorporation of manual tank readings, variance investigations, and documentation of discrepancies;
- Prepare correspondence, operational summaries, inventory reports, maintenance documentation, and facility reports;
- Manage and coordinate inventory reconciliation activities and itinerant billing processes across all Atlantic locations to ensure timely, accurate, and compliant billing practices;
- Assist with the billing and collection of any Non-Contracting Airline, System User, Special Use Charges, and itinerant customer billing activities;
- Prepare and maintain monthly inventory reports, fuel usage summaries, reconciliation documentation, and operational inventory analysis reports;
- Coordinate daily and weekly fuel orders to meet air carrier requirements while ensuring appropriate inventory levels are maintained at all Atlantic locations. Specific focus will be on YHZ;
Maintenance Administration
- Maintain accurate maintenance and asset management records through Asset Essentials, including data entry and tracking for all equipment placed into service, removed from service, inspected, repaired, or transferred;
- Manage YHZ Coupa procurement activities related to parts ordering, inventory replenishment, vendor coordination, invoice tracking, and procurement documentation management;
- Coordinate parts procurement and inventory management to support operational and maintenance requirements while ensuring cost control and timely availability of critical parts and supplies;
- Ensure maintenance documentation, equipment records, and service history are accurately maintained and updated in Asset Essentials and related maintenance management systems;
- Support maintenance planning and operational readiness through accurate tracking of equipment status, preventative maintenance requirements, and asset lifecycle documentation;
Required Skills and Experience:
- High school diploma or equivalent
- Education in Supply Chain Management or Office Administration is preferred
- Inventory Management System (e.g. i6) experience an asset
- Intermediate to Advanced skill in Excel
- Strong verbal and written communication skills
- Strong attention to detail
- Ability to maintain accurate records and a high level of organizational skills
