We’re looking for a Project Coordinator to join our project management office team within our Winnipeg Office.
The Project Coordinator provides administrative support to the Director, PMO and the project management office, and acts as a project management champion by supporting Project Managers and delivery leads throughout the organization. The role ensures project documentation, scheduling, and reporting are accurate and up to date, enabling effective project tracking and execution. The Project Coordinator also facilitates communication between cross-functional teams, helping to ensure that project objectives and timelines are met efficiently.

What You'll Do
- Provide comprehensive administrative and operational support to the Director, PMO, and the broader Project Management Office.
- Deliver project management training, guidance, and day-to-day support to teams across the organization.
- Contribute to the ongoing enhancement and standardization of PMO and project management processes, tools, and documentation.
- Lead and manage small to mid-sized projects from initiation through completion, ensuring timelines, scope, and deliverables are met.
- Oversee and support administrative activities throughout the project lifecycle, including new project requests, project closure, documentation management, and deployment of project workspaces and templates.
- Gather and review monthly project status reports, coordinate corrections with PMs, and assemble the Monthly Project Portfolio Report
- Review project documentation to ensure compliance with PMO processes.
- Provide day-to-day support to the Director, PMO, and assist in resolving support requests.
- Facilitate meetings and record minutes and action items on behalf of the PMO as needed.
Who You Are
- Experience in project management, PMO, project coordination, or a related discipline.
- Strong organizational and prioritization skills, with the ability to manage multiple activities and deadlines.
- Excellent communication and facilitation skills, with confidence engaging with a range of stakeholders.
- Experience supporting projects, leading workstreams, coordinating activities, and facilitating meetings or workshops.
- A continuous improvement mindset and the ability to identify opportunities to improve processes, tools, and ways of working.
- Strong analytical skills and the ability to work with data, reporting, and project information.
- Experience creating and maintaining project management templates, processes, documentation, and resources.
- A collaborative approach and a genuine interest in coaching, supporting, and sharing knowledge with others.
- The curiosity to explore new technologies, tools, and practices and translate them into meaningful improvements for the project management community.
- Confidence working independently, taking ownership, and knowing when to seek input or bring others together to find a solution.
What You'll Bring
- Experience managing or coordinating small to mid-size corporate projects through the full project lifecycle.
- Strong project coordination and organizational skills, with the ability to manage multiple priorities, timelines, deliverables, and resources effectively.
- Proficiency in project reporting and analytics, with the ability to monitor progress, identify trends, and provide clear status updates.
- Strong stakeholder communication and collaboration skills, with the ability to facilitate meetings, communicate project updates, and build effective working relationships across teams.
- Experience creating and maintaining project documentation, including project charters, scope documentation, RAID logs, meeting agendas, and minutes.
- Ability to identify, assess, and proactively manage project risks and issues, including knowing when and how to escalate matters to senior management.
- A strong understanding of project standards, governance, and compliance requirements, with a commitment to maintaining quality and consistency throughout the project lifecycle.
- Proficiency with project management and collaboration tools, particularly Jira and Confluence.
- A proactive, detail-oriented approach with strong problem-solving skills and the ability to work effectively in a fast-paced, collaborative environment.
