Position Overview
The Hunter Hub for Entrepreneurial Thinking invites applications for a Senior Manager, Operations. This Full-time Fixed Term position is for approximately 5 years (based on length of grant funding), with the possibility of extension.
Reporting to the Executive Director, of the Hunter Hub and working collaboratively with central units, the Senior Manager, Operations is accountable for the design, implementation and direction of the efficient and effective operational structure within the Hunter Hub.
Success in this role will be building and implementing relevant policies, procedures and supporting strategic initiatives and programs that enable the Hunter Hub to achieve our strategy of reaching a large number of students, faculty and the community across all disciplines with exceptional programming supported by superior project management and backend capabilities. By 2030, the Universities goal is for all students to be aware of entrepreneurial thinking and 50% of the student population to have been involved in innovation experiences at some stage during their programs.
The Senior Manager, Operations works with the Executive Director and the Director, Talent to identify the operational implications of policies, procedures, employment/collective agreements, and initiatives at the university to ensure their successful implementation in the Hunter Hub and suggest improvements where needed. This position is accountable for the performance and results of a small team of direct reports, and is responsible for all recruitment, development, and performance management of the operations team.
Position Description
Summary of Key Responsibilities (job functions include but are not limited to):

With expenditures approved by the Executive Director and Director of Talent, the Senior Manager, Operations is responsible for the annual operating budget and responsible for overseeing annual budget preparations, purchasing, tracking and reporting for the Hunter Hub and a small operations team; Responsible for balancing all the Talent team and Hunter Hub financials on a monthly and annual basis, working with VPR office finance team and the Director, Talent and other staff to develop activity codes and portfolio budgets, as required.

Ensure that all financial transactions (requisitions and credit card expenses) are processed within PeopleSoft in a timely and accurate manner; Processes, follows up on, and ensures payment of all requisitions for the Talent team and Hunter Hub.

Manage the Hunter Hubs vendor procurement process for the Talent team: identify and qualify vendors with project lead, create contracts for procurement, and ensure smooth delivery of all agreed deliverables and activities.

Identify changes to financial or reporting processes and practices to ensure the smooth, efficient, and effective operation of the office.

Provide senior level administrative support to the Executive Director and Director of Talent as needed for other administrative and operational needs of the Talent team and Hunter Hub including human resources, strategic initiatives/projects, and partnerships; Represent the Executive Director and Director of Talent and the Hunter Hub in a professional and confident manner, in both written and verbal communications; Independently takes on as many tasks as possible to assist the Executive Director and Director of Talent and oversee follow-up activities and draft professional correspondence and action plans that arise from meetings and engagements.

Responsible for aligning the Talent team strategy to the Hunter Hub database strategy and ensuring the Hunter Hub team is collecting metrics and content for reporting to government funders and other stakeholders, as required.

Manage and maintain the integrity of the Hunter Hub database and all confidential records; Actively develop knowledge and records of our internal and external stakeholders, in order to enable high-quality deliverables and broad reach to all stakeholders where necessary.

Responsible for recruitment, performance management and supervision of small operations team; Manage the quality and delivery of operations team member duties.

Identify opportunities to be a brand ambassador and lead the operations team by example by building strong relationships with internal and external networks; Communicate professionally with faculty, staff, administrators across the academic community, and students; respond to requests for information (and take necessary and appropriate action including triaging to appropriate team members).

Support the community engagement efforts for the Hunter Hub through front line engagement with students, faculty, staff, University leadership and community stakeholders in a personable and professional manner.
Qualifications / Requirements:

Must hold an undergraduate degree, preferably in business.

Minimum of 10 years of progressive experience, knowledge and skills in operations and financial management. Demonstrated experience managing budgets and ensuring fiscal responsibility. Grant-management experience an asset.

Demonstrated experience in management of cross-functional teams and direct reports including supervision of day-to-day operations and administration. Experience in an entrepreneurial environment is an asset.

Demonstrated project planning skills and superior organizational, analytical, administrative, financial, operational, and problem-solving skills required to deal effectively with complex tasks and multiple priorities and stakeholders.

Exceptional communication skills; Demonstrated experience in developing collaborative relationships with both internal and external stakeholders. Experience with cross-faculty initiatives, and/or partnerships in an academic environment is an advantage.

Knowledge and understanding of university plans and policies, as well as structure, governance, and decision-making processes is an asset. Understanding of human resource management and supervisory experience is required.

Effective time management skills, the ability to balance multiple priorities and task coordination skills are essential due to the large volume of work

Proactive and energetic self-starter dedicated to superior client service and operations; able to successfully manage multiple competing priorities with minimal supervision and direction and deliver high quality results on time; strives to exceed the needs of all stakeholders and partners.

Excellent computer skills in Microsoft Office are required. Experience with University core business systems (Peoplesoft, eFIN, enterprise reporting, etc.) an asset.

Demonstrated knowledge of HR policies and procedures and financial administration is an asset.
