We are looking for a passionate and hardworking custom service-oriented individual who works well independently and with a team. This position requires strong time-management, organization, paperwork and effective communication skills. This individual will be interacting with tenants, sub-trades and co-workers.
The Property Manager is responsible for the overall operational, and administrative management of our residential communities. This role oversees daily property operations, ensures high resident satisfaction, and drives property performance in alignment with company objectives and budgets. The Property Manager also develops and implements site policies and procedures.
Responsibilities include, but are not limited to:
Renting Suites (when advised)
- Respond to inquiries from prospective residents in person, via email, and over the phone in a prompt and courteous manner
- Schedule appointments to show units and advise current resident (if applicable) of Notice to Enter
- Send Rental Applications and submit received completed applications into property management software
Move Ins, Outs and Unit Turnover
- Ensure all Leasing Documents are received and uploaded to property management software, including payment
- Meet with new residents to provide keys and complete Move-In Inspections with new residents
- Submit Notices to Vacate to Head Office immediately upon receipt and deliver Move Out Instructions to residents
- Schedule and conduct Preliminary and Final Move Out Inspections and attach to resident’s file
- Support preparation and management of annual operating budgets and cost-control initiatives
Resident Experience
- Provide exceptional customer service by dealing with resident matters as they arise in a professional manner
- Maintain detailed records of resident interactions / notes in property management software and upload documents and pictures (where required) in a timely manner
- Receive maintenance requests and follow-up with sub-trades regularly to complete requests in a timely manner
- Ensure timely rent collection, accurate invoicing, and authorization of purchase orders and work orders
- Direct all property maintenance activities, including preventative maintenance, HVAC, landscaping, and cleaning
- Ensure 24-hour emergency coverage and effective vendor and contractor coordination
- Conduct regular property inspections to ensure lease compliance, safety, and property standards
- Serve as the primary point of contact for residents, fostering positive relationships and resolving concerns professionally
- Support leasing and marketing efforts to achieve occupancy targets through market awareness and pricing oversight
- Proven ability to drive key KPIs: occupancy, arrears, renewals, expense control, and NOI
Experience & other requirements
- Excellent verbal and written skills (Fluent in English)
- Valid drivers license and access to personal vehicle
- Excellent customer service and public interaction skills
- Ability to use and/or learn how to use new technology. Proficiency in Microsoft Office (Word, Excel, Outlook); Yardi experience is considered an asset
- Strong attention to detail and accuracy on documentation
- Demonstrated knowledge of Landlord and Tenant Act
- Effective verbal and listening communication skills
- Time management skills
