POSITION SUMMARY:
The Onboarding Administrator is responsible for managing the end-to-end onboarding process for employees and DSPs (Direct Service Providers) across multiple divisions. This role ensures all new hires, rehires, and contractors are fully compliant, accurately set up across systems, and ready for dispatch in a timely manner. Acting as a central point of coordination between Dispatch, Safety, Payroll, and Operations, this role plays a key part in workforce readiness and compliance.
ESSENTIAL JOB FUNCTIONS:
- Coordinate all pre-employment and onboarding activities from offer acceptance through the employees’ first day.
- Prepare and issue new hire paperwork, employment agreements, and onboarding documentation while ensuring compliance with company policies and employment legislation.
- Schedule and track all onboarding requirements, including orientations, training sessions, safety courses, and mandatory certifications.
- Complete HRIS data entry and maintain accurate employee records, ensuring confidentiality and data integrity.
- Liaise with hiring managers, payroll, IT, Health & Safety, and department leaders to ensure all equipment, system access, and resources are ready before the employee’s start date.
- Facilitate new hire orientation and provide employees with information regarding company policies, procedures, benefits, payroll, and workplace expectations.
- Monitor onboarding progress and ensure all required documentation is completed within established timelines.
- Serve as the primary point of contact for new hires, answering questions and providing ongoing support throughout the onboarding process.
- Ensure compliance with employment standards, immigration/work authorization requirements, privacy legislation, and company policies.
- Support offboarding processes when needed, including exit documentation and system notifications.
- Other duties as assigned
EDUCATION AND WORK EXPERIENCE REQUIREMENTS:
- High school diploma required.
- 1-2 years in an administrative role, preferably in oil and gas and/or construction industry.
- Proficient computer skills in MS Office Suite and SharePoint.
- Certificate or diploma in Business Administration, Office Administration, or other related areas of study is an asset but not required.
