Reporting to the Dean of Teaching and Learning, the Administrative Assistant is responsible for coordinating the administrative operations of the Centre for Teaching and Learning and providing confidential executive support to the Dean. The position serves as the primary administrative hub for the Centre, supporting institutional initiatives, faculty professional development, committee work, financial and human resource processes, project coordination, and day-to-day operations while ensuring exceptional service to faculty, staff, students, and external partners.
Specific Duties
- Provide confidential administrative support to the Dean of Teaching and Learning, including calendar management, scheduling, correspondence, meeting coordination, travel arrangements, and the coordination of competing priorities.
- Prepare, draft, format, and distribute correspondence, reports, presentations, briefing materials, and other communications on behalf of the Dean.
- Coordinate recruitment, hiring, onboarding, and employment administration, including interview scheduling, new hire documentation, instructional service contracts, orientation activities, timesheets, and related employment records.
- Coordinate and provide administrative support for CTL workshops, events, conferences, and professional development activities.
- Establish and maintain departmental filing systems and records, including documentation related to curriculum development, quality assurance, governance, Work Integrated Learning, professional development, and other CTL initiatives.
- Provide administrative support to committees, working groups, and project teams, including meeting coordination, communications, records management, and minute-taking.
- Coordinate communications related to CTL initiatives, projects, workshops, and institutional priorities.
- Develop and distribute promotional and informational materials in collaboration with CTL staff and communicate professional development opportunities across the College.
- Serve as the primary point of contact for the Centre, providing reception services, responding to telephone, email, and in-person inquiries, triaging faculty support requests, and acting as a resource for faculty, staff, students, and external partners.
- Assist with departmental financial administration, including budget preparation, purchasing, reconciliations, purchasing card administration, financial records, and procurement documentation.
- Maintain departmental administrative records, including employee leave, professional development, agreements to teach, contract worksheets, and other operational documentation.
- You will be part of a team actively engaged in contributing to and accomplishing the vision, mission, and goals of the College and in supporting the aspirations and needs of our learners and communities.
- You will promote a positive work atmosphere and communicating in a professional manner that demonstrates mutual respect with students and colleagues.
- Other duties as assigned by Dean or designate.
Skills & Qualifications
- Recognized two (2) year diploma in Business Administration or related field of study.
- 3 years or more experience at a similar administrative level, or an equivalent combination of education and experience with increasing level of responsibility and complexity (preference given to experience supporting administrators in an educational environment).
- Demonstrates initiative and judgement at senior administrative level
- Good knowledge of administrative duties and relevant office procedures at a department level
- Ability to prioritize workload and work toward critical deadlines, with time constraints and with frequent interruptions.
- Ability to maintain confidentiality and meeting privacy legislation requirements

- Proven ability to gather, analyse, integrate and summarize complex and varied material, and to provide accurate, complete and current information and advice on short notice
