Why is this role important?
Mailroom Supervisor is responsible for providing leadership for the mailroom team and overseeing the day to day operations of the Loblaw 500 Lakeshore blvd West office mailroom and other office services related duties.
Day to Day Operations
Mailroom supervisor is responsible for ensuring all daily duties are completed before end of day
Oversee the shipping & receiving area, mailroom and print and mail centres throughout the building
Communicate effectively with direct reports
Liaise with mailroom manager and internal departments within many business units regarding mail and courier shipping/receiving, logistical issues and internal printing/shipping projects
Responsible for various Office services related duties throughout the building ie. Daily Ad-Hoc requests for assistance from office colleagues regarding personal lockers, consumable supply replenishment.
Monitor mail/print room supply inventory – Ordering office supplies when necessary ie. Paper, Stationary, Printer toners & printer accessories
Monitor general mailroom inbox and address all requests and inquiries in a timely manner
Responsible for identifying and collecting all mailroom related invoicing hard copy/soft copy and some invoice processing for mailroom related invoices via SAP AP-UPLOAD and Ariba
Maintain mailroom equipment including Fe-Ex ship manager, postage machine, print finishing equipment etc. Report deficiencies to mailroom manager
Ensure mailroom workspace and print/mail centres on the floors are tidy and free from safety hazards to comply with Health& Safety standards
Liaise with IT department to rectify mechanical and technical issues with mailroom related equipment when they arise
Critical thinking and troubleshooting applicable to Ad-HOC requests and impromptu departmental issues
Liaising with records management team when file boxes need to be shipped to offsite storage or when receiving file boxes from offsite storage facility
Create and maintain relationships with all related vendors and colleagues
Acting as Point of contact for resident vendors ie. Ricoh, BGIS, United cleaning etc.
Understanding and Utilization of Loblaw internal systems ie. Ariba, Service Now, Workday etc.
Cognizant of cost savings
Responsible for making sure mailroom is securely locked up at end of day, daily identifying any security breaches and incomplete tasks
Mailroom Supervisor oversees the mailroom staff at 500 Lakeshore mailroom
Responsible for providing positive team leadership and promoting engagement amongst the mailroom team
Communicate effectively with Mailroom Manger to Coordinate printing/mailing projects and awareness of team schedule to ensure adequate coverage for absent colleagues
Monitor colleagues time off requests in Workday system to ensure all team members are aligned with their individual holiday/sick day allowance
A professional and positive approach to communicating with all colleagues
Encourage and implement cross training strategies for all team members, to provide a general rounded knowledge in all facets of mailroom operations to promote ownership and personal growth
5 years mailroom or facilities experience
Team lead experience
Ability to lift up to 60lbs
Capability of being on your feet for long periods
Knowledge and experience in print production will be an asset
Functionality with Loblaw internal software systems ie. ARIBA, Service Now, SAP etc.
Knowledge of Fed-Ex ship manager hardware, software
Experience in a fast paced work environment, able to cope with adversity in regards to last minute Ad-Hoc duties or projects.
Progressive outlook with an adaptive disposition to change with the constant evolution of the business
High level of organization
Critical thinking and troubleshooting
