Receptionist
Job Purpose The receptionist is responsible for creating a positive and professional first impression for visitors and callers. They will perform a range of administrative and clerical tasks to support the smooth functioning of the Core team.

Your Responsibilities
Reception Duties
▪ Greet public
▪ Answer and direct phone calls to the appropriate staff
▪ Process payments
▪ Process mail - distribute, prepare and post mail, dispatching couriers
▪ Maintain office and kitchen supply inventory
▪ Ensure the kitchen, boardroom, and print room are cleaned and restocked daily
Office Administration
▪ Manage general email for Core Real Estate Group
▪ Schedule all moves according to the Condominium Corporation Policy
▪ Process all requests related to keys, FOBs, garage remotes, intercoms and restock inventory as required with Property Manager approval
▪ CondoGenie user approvals for all Condominium Corporations
▪ Update OneNote with pertinent information regarding moves, keys, fobs, garage remotes, and intercoms
▪ Update Owner and Tenant information in the client data base that was received through the Info email, by phone, in person, from the Owner/Tenant information and PAD forms
▪ Communication with onsite coordinators regarding moves and elevator issues
▪ Send out new owner information packages for all properties as per phone call or email request
▪ Contractor key hand off and sign out
▪ Project key management
▪ Responsible for office float - nightly count of float, daily deposits and float lock up
▪ Process postage quarterly chargeback for all properties
▪ Monthly Land Titles reconciliation and chargebacks to client
▪ Ivrnet inquiries, sending out invoice copies, directing them to payment options, providing invoice numbers and access codes
▪ Preparing birthday cards and updating staff meeting agendas with Coreversary’s
▪ Attend monthly administration meetings
Your Qualifications
Education:
High school diploma or higher
Experience:
▪ A minimum of 2 years’ experience in administration
▪ Experience in face-paced environment with high call volumes considered an asset
