Overview
We are seeking a reliable, organized, and detail-oriented Receptionist to join our busy psychology practice. As the first point of contact for our clients, you will play an important role in fostering a welcoming, professional environment while upholding the highest standards of confidentiality and privacy.
The successful candidate will be responsible for appointment scheduling, data entry, accounts receivable, documentation management, and general administrative support.
The ideal candidate is a self-motivated professional with previous experience working in a healthcare, mental health, or clinical office setting.
Start Date: As soon as possible (ASAP)
Key Responsibilities:
- Coordinate client appointments, bookings, and scheduling using Jane App
- Manage incoming phone calls, emails, and front-desk operations
- Create and send invoices using QuickBooks
- Process and record payments and receipts
- Follow up on outstanding balances and overdue payments
- Reconcile insurance statements and client accounts
- Maintain accurate electronic client records and documentation
- Scan, upload, and organize documents using CamScanner or similar applications
- Assist with intake forms, correspondence, and administrative documentation
- Communicate with insurance companies, case managers, and other stakeholders as required
- Provide general administrative support as required
Qualifications and Skills:
- Minimum of 3 years of receptionist or administrative experience
- Previous experience in a medical, counselling, psychology, or healthcare office is preferred
- Proficiency with QuickBooks, including invoicing and payment processing
- Familiarity with insurance billing, claims management, and account reconciliation
- Experience with Motor Vehicle Accident (MVA) claims, and extended health benefit plans is a strong asset
- Experience using CamScanner or similar document management software
- Must have knowledge of JaneApp to book clients
- Strong organizational skills and exceptional attention to detail
- Excellent verbal and written communication skills
- Professional, compassionate, and client-focused approach
- Must be able to handle confidential and sensitive information with discretion
- Successful candidate must be able to provide a satisfactory Criminal Record Check prior to employment
