We are seeking a highly organized, service-oriented Assistant role to support our senior Travel Advisor / Event Manager working with corporate clients, production teams, high-profile travelers, and corporate conferences. This part-time, contract-based role is ideal for a self motivated professional who excels behind the scenes, values precision, and takes pride in delivering a seamless, white-glove client experience.

The Role
As a Travel Advisor / Event Manager Assistant, you will provide comprehensive support across all aspects of travel planning and client service. You will play a critical role in ensuring itineraries, conference logistics, and client communications are executed flawlessly, allowing the lead advisor to focus on strategy, relationships, and business development.
This role requires discretion, efficiency, and the ability to manage multiple priorities in a fast-paced, high-expectations environment.
Key Responsibilities
- Support the lead travel advisor team with day-to-day travel planning for corporate, executive, production, and high-profile clients
- Build strong relationships with business clients and industry contacts and understand their unique preferences
- Assist with booking and managing client needs (can include: air, hotel, car, and ground transportation)
- Prepare, review, and update detailed itineraries and travel documentation
- Monitor bookings for schedule changes, disruptions, and special requirements, escalating issues as needed
- Assist in the planning and coordination of corporate conferences and meetings, including:
Group air travel support
Hotel room blocks and attendee lists
Ground transportation coordination
Attendee communications and travel support
Conference Registration software support
- Maintain accurate records and ensure compliance with company procedures and client guidelines
- Communicate professionally with clients, suppliers, and internal team members
- Provide proactive administrative and logistical support to ensure a seamless client experience
Experience & Qualifications
- Minimum 1–2 years of travel industry experience preferred
- Administration experience with exposure to corporate travel, group travel, or conference support / event management is a strong asset
- Exceptionally detail-oriented with strong organizational and time-management skills
- Polished written and verbal communication skills
- Professional, discreet, and service-driven mindset
- Able to work independently while effectively supporting a lead advisor
- Comfortable operating in a fast-paced, deadline-driven environment
- GDS experience preferred (Sabre an asset); proficiency with Microsoft and Google software suites required
- Technically confident and adaptable to new systems and processes
