Hearings & Regulatory Committees Coordinator
At the CRNA, we are committed to regulatory excellence and safeguarding the public interest. We are seeking a Hearings & Regulatory Committees Coordinator to provide coordination and administrative support for CRNA's regulatory committees and hearings processes. Reporting to the Manager, Hearings & Committees, this role supports efficient operations, procedural integrity, and adherence to legislative, policy, and organizational requirements across hearings and committee activities.
The Coordinator manages multiple concurrent hearing and committee workflows, organizing schedules, preparing documentation, tracking timelines, and facilitating communication with internal and external partners. Through this work, the Coordinator contributes to CRNA's ability to regulate the nursing profession in the public interest by ensuring hearings and committee processes are well-organized, procedurally sound, and consistently executed.
What You Will Do
Committee and Hearing Coordination
· Coordinate schedules, availability, and logistics for regulatory committees and hearing panels, including multiple concurrent activities.
· Prepare and distribute agendas, supporting materials, and case-related documentation in accordance with established procedures.
· Ensure panel members have timely access to evidence, submissions, case files, and technical materials required for participation.
· Serve as the primary point of contact for panel members, witnesses, legal counsel, [AP1] internal partners, and the general public on coordination matters.
Hearing Administration and Logistics
· Prepare hearing packages, evidence binders, and other documentation with accuracy, completeness, and confidentiality.
· Coordinate technology setup for virtual and hybrid hearings, including testing, file access, and troubleshooting.
· Coordinate witness communication, instructions, and logistics.
· Ensure timely and accurate publication of hearing notices and decisions, including appropriate redaction of sensitive information.
Records Management and Financial Administration
· Maintain case documentation and committee records in SharePoint and internal systems, ensuring accessibility, integrity, and compliance with records management standards.
· Track case-related tasks, deadlines, and follow-up actions to support timely progression and completion.
· Process honoraria, expense claims, invoices, and travel and catering arrangements for committee members.
Recruitment and Onboarding Support
· Support recruitment logistics by coordinating communication, scheduling, and required documentation for committee applicants.
· Assist with onboarding by organizing training dates, preparing materials, and tracking completion.
What You Possess
Education:
Two year post-secondary program in a related field.
Experience:
Minimum 2-3 years of progressive experience in administrative coordination, regulatory committee support, hearings administration, case file management, or a related regulatory, legal, or governance environment.
Skills & Competencies:
· Coordination and Organization: Demonstrated ability to manage multiple concurrent hearings and committee activities, schedules, and documentation requirements.
· Records Management: Familiarity with records management, document control, and confidentiality requirements, including SharePoint administration.
· Attention to Detail: Ability to prepare accurate, complete, and confidential hearing packages and case documentation.
· Communication: Clear, professional communicator able to liaise with panel members, witnesses, legal counsel, and internal partners.
· Technology Proficiency: Comfort coordinating and troubleshooting virtual and hybrid hearing technology.
· Judgment: Ability to apply sound judgment within established guidelines and escalate complex or sensitive matters appropriately.
· Financial Administration: Experience processing honoraria, expense claims, and invoices, with attention to accuracy and approval routing.
