About Us
The Department of Western Technology Services (WTS) is a central source committed to providing high-quality, cost-effective technology solutions and services to the campus community in support of the teaching and research missions of the University. WTS works collaboratively with other IT groups within Western’s faculties and support units to leverage central supported technology solutions and services where appropriate.
Responsibilities
The Financial Assistant is accountable for the implementation of daily financial transactions for Western Technology Services, in accordance with Western’s financial, payroll, and procurement policies, procedures and guidelines. The role facilitates the administration of accounts payable, accounts receivable, budget reconciliation, travel and other expense reimbursement, payroll requisitions, one-time payments, pay account changes, and assists with the preparation of financial statements and reports as required. The Financial Assistant coordinates telecom processes and serves as a key contact for inquiries from internal and external clients, working with technology support specialists to solve issues with the billing and telecom system for Western related to financial policies and processes. The role also provides assistance to clients with VISA purchases, managing software license accounts for employees and completing purchase orders. In addition, the Financial Assistant acts as the travel coordinator for WTS, responsible for facilitating travel, accommodation and registration arrangements for staff.
Qualifications
Education:
- 3 year Community College Diploma in Business Accounting or Financial Administration
Experience:
- 2 years’ experience in a bookkeeping, financial administration or accounting role; preferably in an academic setting
Knowledge, Skills & Abilities:
- Knowledge of accounting principles and practices and of general office procedures
- Ability to ensure expenditures and resources are within allotments, and to make appropriate modifications as required
- Detail oriented with an ability to process information with high levels of accuracy
- Communication skills to clearly express ideas in an objective manner and adapt communication style to suit the situation and the audience
- Customer service skills with a desire to achieve results in a timely manner
- Demonstrated ability to work independently, take initiative and follow through on work assignments
- Proven ability and natural inclination to interact with people in professional, respectful and diplomatic manner
- Ability to provide guidance and support to ensure compliance with processes in a way that is positively received
- Results-oriented with an ability to handle many tasks and maintain a high level of performance
- Ability to understand and effectively communicate internal and external policies, guidelines and practices to stakeholders
- Intermediate computer skills with Microsoft Office, including spreadsheet design, word processing and database management
- Ability to work independently and effectively as a member of the team to achieve departmental results
- Familiarity with applications used by Western is an asset – e.g. PeopleSoft
