Vitonia is seeking a highly organized and proactive Office Manager to join our team. The Office Manager will play a key role in ensuring the smooth operation of the office, providing administrative support, managing onboarding processes, and maintaining a productive work environment. This position requires a strong ability to multitask, excellent communication skills, and a high level of attention to detail.
Key Responsibilities:
- Office Management:
- Oversee the day-to-day operations of the office, ensuring a clean, organized, and efficient work environment.
- Manage office supplies inventory, place orders as needed, and handle client relationships.
- Coordinate office maintenance, and improvements.
- Organize and manage office events, meetings, and team-building activities.
- Administrative Support:
- Provide administrative support to the Sales teams, including scheduling meetings, managing calendars for interviews, and preparing reports.
- Assist with the preparation and distribution of internal and external communications.
- Onboarding:
- Facilitate the onboarding process for new hires, ensuring a smooth transition into the company.
- Prepare and distribute onboarding materials, including welcome kits, company policies, and training schedules.
- Conduct office tours and introduce new members to the team.
- Support to Sales and Marketing Teams:
- Support the sales team with administrative tasks, such as managing customer databases and processing orders.
- Compile and distribute sales and marketing reports, analyzing data as required.
Qualifications:
- Proven experience as an Office Manager, Administrative Assistant, or in a similar role.
- Strong organizational and time-management skills with the ability to prioritize tasks effectively.
- Excellent communication and interpersonal skills.
- Proficient in Microsoft Office Suite (Word, Excel, PowerPoint) and office management software.
- Experience in onboarding and HR processes is a plus.
- Ability to work independently and as part of a team in a fast-paced environment.
- High level of discretion and confidentiality.
Education:
- Bachelor’s degree in Business Administration, Management, or a related field is preferred but not required.
